Bexio Integration

How to connect your Eturnity Expert account with Bexio: setup, project data transfer, automatic customer creation, and troubleshooting.

Overview

The Bexio integration in Eturnity Expert enables automatic data transfer from your solar projects directly to your Bexio accounting system. This integration streamlines your workflow by automatically creating customers and orders in Bexio based on your Expert project data, eliminating manual data entry and reducing errors.

Key benefits of the Bexio integration include:

  • Automatic customer creation: New customers are automatically added to Bexio based on project information

  • Seamless order generation: Project bill of materials is automatically transferred to Bexio orders

  • Status management: Handle existing orders intelligently based on their current status

Note: Bexio is only available to companies based in Switzerland. If the ERP/CRM item is missing under Integrations in the settings (in the new navigation in the Other section), the integration is not included in your licence. Please request a trial or upgrade in Eturnity Expert or contact support@eturnity.com to learn more. If the ERP/CRM page only shows No systems available, Bexio is not available for your company.

Prerequisites

Before setting up the Bexio integration, ensure you have:

  • A company based in Switzerland

  • An Expert licence with the ERP/CRM integration

  • A Bexio account with administrative access

  • A separate connection for each person who transfers projects to Bexio: the connection applies per user account in Expert

  • Project data ready for transfer (completed project variants)

  • Component library with proper product information

Setting Up the Bexio Connection

To establish the connection between Eturnity Expert and your Bexio account:

  1. Open Settings › Integrations › ERP/CRM (in the new navigation: Settings › Other section › ERP/CRM)

  2. On the Bexio card, click Connect. The card only appears for companies in Switzerland; if it is missing, the page shows No systems available

  3. The Redirect window announces the redirect; after a few seconds, the Bexio login page opens

  4. Log in there with your personal Bexio credentials

  5. After logging in, you return to the ERP/CRM page. The message Your connection was successful. You can now use it within projects. appears, and the Bexio card shows Activated on with the date. The connection only applies to your own user account

To disconnect, click Disconnect on the Bexio card and confirm the prompt.

The connection process uses secure OAuth authentication, ensuring your Bexio credentials are never stored in Eturnity Expert.

Transferring Project Data to Bexio

Once your Bexio connection is established, you can transfer project data using the following process:

  1. Open the project in Expert

  2. In the project, open the Export data page (in the new navigation in the Integrations group). If it only shows Data transfer to ERP/CRM with the Did you know? note, your user account is not yet connected to Bexio; the link in the note takes you to the ERP/CRM page

  3. Under Variant, the active variant is preselected; choose a different one if needed

  4. Click Create sales order in Bexio to start the transfer

The transfer runs in the background, and you can keep working. While it is running, the button is locked in this browser tab. When the transfer has finished, a message appears in this tab for a few seconds at the bottom of the screen:

  • on the Export data page with Open sales order, if there is an error with Retry transfer

  • on any other page with Go to Export data; this takes you back to the project's Export data page

If you missed the message or kept working in another tab, you can see the result in the Transfer history.

Transfer History

After the first transfer, the Transfer history with all transfers of this project appears below the button on the Export data page. The Status column shows:

  • In progress: The transfer is still running

  • Done: With Open sales order in the Actions column, you open the order in Bexio

  • If there is an error, the cause in short form, and the Actions column shows Transfer failed. You can see the full message by hovering the mouse over the status

Automatic Customer Management

The system intelligently handles customer creation during the transfer:

  • Existing customers: If a customer with matching name and address already exists in Bexio, the system uses the existing customer record

  • New customers: If no matching customer is found, a new customer is automatically created based on the project information

  • Order creation: A new order is created for the customer based on the Expert bill of materials

Handling Measurement Units

The system automatically manages measurement units during transfer:

  • Automatic unit creation: If a unit exists in Expert but not in Bexio, the system will automatically create it in Bexio (if you have the necessary permissions)

  • Permission requirements: If you lack permissions to create units, the transfer fails with an error message

  • Manual resolution: When permissions are insufficient, an admin user must manually add the missing units in Bexio before you transfer the project again

Managing Existing Orders

The system intelligently handles existing orders based on their current status in Bexio:

  • Deleted or Cancelled orders: A new order will be created

  • Pending or Partially completed orders: The existing order will be updated with new information

  • Completed orders: The transfer fails, and the Transfer history shows Bexio document status does not allow changes. Set the order in Bexio back to Pending and transfer the project again

Advanced Features

Transferring Sub-Positions

You can include sub-positions in your transfers to Bexio:

  1. Navigate to the bill of materials with a collection position in Expert

  2. Display the details of the collection position

  3. Activate the Show sub-positions on PDF toggle

  4. Sub-positions will now be included in the transfer to Bexio

Only Items with a Quantity

Only products with quantities greater than 0 will be transferred to Bexio, ensuring your orders contain only relevant items.

Troubleshooting Common Issues

Transfer Failures

Common transfer issues and solutions:

  • Missing units: Ensure all required measurement units exist in Bexio or have sufficient permissions for automatic creation

  • Permission errors: Verify your Bexio account has the necessary permissions for order and customer creation

Order Status Conflicts

When dealing with existing orders:

  • Check the order status in Bexio before transferring

  • Reopen completed orders in Bexio if you need to update them

  • Consider creating new orders for major changes to completed projects

Best Practices

To maximize the effectiveness of your Bexio integration:

  • Test first: After setup, transfer a sample project first and check the order in Bexio

  • Transfer promptly: Transfer projects promptly so that Expert and Bexio have the same data

  • Status monitoring: Check the Transfer history of your projects for failed transfers

  • Permission management: Ensure your Bexio account has all necessary permissions for seamless operation
