What this is about
In Eturnity Expert, you work with a project's documents mainly in four places: the offer PDF for your customer on the Offers page, predefined forms on the Administrative documents page, the storage of all files in the File manager and passing data on to other programs on the Export data page. What is available in your offer PDFs, that is branding, your own pages and document templates, is set once for the whole company by administrators in the settings.
You open the four project pages in the project: open the project, choose the variant you want and click the page in the matching group of the left side menu.
What | Where | Who |
Offer PDF and other documents made up of pages, for example an order confirmation | In the project: Offer group > Offers | Anyone who edits the project; the Online offer only if your licence includes it, and not for variants with photovoltaics without a 3D Panel layout |
Predefined forms for each country | In the project: Planning group > Administrative documents | Anyone who edits the project; individual forms only if your licence includes them |
All of the project's files | In the project: Project group > File manager | Anyone who edits the project; uploading your own files only if your licence includes it |
A variant's data as a CSV file or to an ERP system | In the project: Integrations group > Export data | CSV file: anyone who edits the project; transfer to an ERP system only with a suitable licence and only for companies with financial details in Switzerland |
Branding, your own pages and document templates for all offers | In the header, open the app launcher on the far left > Settings > Offer section | Only users with administrator rights |
The offer PDF: the Offers page
On the Offers page, you put together the document for your customer from pages: from the standard pages that Eturnity maintains, from your company's own pages and from data sheets. This is not only the offer itself. Every document made up of such pages is created here, for example an order confirmation. Which pages it contains is determined by the document template you choose and by what you then change under Page order.
For variants with a 3D Panel layout and for variants without photovoltaics, the page takes you through the offer in three steps: Offer settings, Preview PDF and edit text and Online offer. In the Offer settings step, you choose the template, the pages, the Address and the Branding and click Save at the bottom. Preview PDF opens the Preview PDF and edit text step; there you check the offer, change texts if needed and download it with Download PDF (in the previous version of the page: Generate PDF, then Download document). With Share Online offer (if an Online offer is already active in the project: Add to Online offer), you instead pass the offer on to your customer as a link in the Online offer step, provided your licence includes the Online offer.
For variants with photovoltaics without a 3D Panel layout, the page is simpler: you choose the template, adjust the Page order, choose the Address and the Branding in the Details section and download the PDF with Download PDF; Preview PDF opens the preview in a new browser tab, and there is no Online offer there.
Good to know:
Each variant has its own offer, with its own template, page order, address and branding and the texts you change in the preview.
Eturnity stores every offer PDF it creates in the project's File manager, as a file of the variant. Once created, a PDF no longer changes, even if you change pages or prices later. You can only find earlier offer PDFs there.
The texts in the PDF follow the project's Correspondence language, not the language of your interface. You change it in the Project settings.
If Preview PDF and Download PDF are greyed out, changes have not been saved yet, no page is selected, or the financing or, for photovoltaics, the simulation is no longer up to date.
What is available in your company's offers is set by administrators in the settings in the Offer section: under Branding colours, logo and, in the new PDF design, a Cover image; under Custom pages your own pages from PDF files, for example your terms and conditions; and under Document templates fixed page sequences. How to set this up is described in the article “Setting up your offer PDF”. What the new PDF design changes and how to switch to it is described in the article “Switching to the new PDF design”. What only Eturnity can change, such as fixed texts or the layout of a standard page, and which of it is chargeable, is covered in the article “Customising your PDFs”.
Administrative documents: forms for your country
On the Administrative documents page, you generate predefined forms that Eturnity provides for each country and fills in from the project data. Unlike the offer, you do not put these documents together yourself. The page only lists the forms that apply to the project:
Forms that you fill in yourself depend on the country of the project's building address.
In Switzerland, for variants with heating, the incentive consulting form (from seven residential units in the version for large buildings) and the WPSM Calculation of the heating power demand are added, both with the Generate document button. For this, your company's financial details must include Switzerland, and the project's Correspondence language must be a Swiss language, for example “Deutsch (CH)”.
In France, for variants with photovoltaics, the Consuel forms are added with the Generate document button if your company's financial details include France and the correspondence language is “Français (FR)”.
For forms that you fill in yourself, Generate document first takes you to the form; Eturnity saves the completed document in the File manager. For the other forms, Generate document creates the document in the background; the button then reads Download and downloads it to your browser's download folder. It is also stored in the File manager.
If your licence does not cover a form, it stays visible in the list but cannot be generated. An empty list is not an error: nothing is available for this combination. The page then shows the Contact support link; it opens an email to Eturnity Support with which you request a missing form. Eturnity reviews it and, where possible, adds it for your country. This can take some time.
File manager: all of the project's files
The File manager is the project's storage. This is where the documents that Eturnity creates for the project end up: every offer PDF, the administrative documents, the plans from the Planning group such as Single line diagram, Roof plan and String plan, and the files from Generate file on the Inverter page. In addition, there are the images you upload in the 3D Panel layout and anything you store yourself. The Project variant column shows which variant a file belongs to.
You upload your own files with Upload file, up to 70 MB per file. If the button is missing, your licence does not include uploading project files.
On the Datasheets tab, you find the data sheets of the project's main components.
If your licence includes electronic signature and it is set up for your company, you send suitable documents to your customer for signature via the file's menu. Only an administrator can set it up, in the settings in the Offer section on the Electronic signature page.
Files are only deleted when you click Save at the bottom. Files that cannot be deleted include files with an open signature request, images used in the 3D Panel layout and the PDF of an active Online offer.
Export data: passing data on to other programs
On the Export data page, under Project Variant Export, you download the data of the active variant as a CSV file with Download CSV. This is open to anyone who edits the project, regardless of the licence.
If your licence includes the ERP/CRM integration, the transfer to your ERP system is shown above the CSV export. The integration is only offered to companies with financial details in Switzerland. First, each user connects their own account, in the settings in the Other section on the ERP/CRM page; until then, this area only shows a note with a link to that page (the note still refers to the route via Integrations). Then you choose the variant and click Create sales order in Bexio; this creates a sales order in Bexio. You read the result in the Transfer history.
You do not export several projects at once here, but on the Projects page in a view of the Table type: tick the projects and choose Export. If the checkboxes for ticking projects are missing there, exporting the project list is not enabled for your account. Eturnity Support sets up webhooks for you; also ask Support about access to the API.
What is available in each country
Offer PDF: in all countries. Which standard pages are available to you depends on your company's country or your partner network and on the technologies in your licence, for example photovoltaics or heating; the texts in the PDF follow the project's correspondence language.
Administrative documents: different in each country. Forms that you fill in yourself depend on the country of the building address. In addition, for heating there are the incentive consulting form and WPSM if your company's financial details include Switzerland and the correspondence language is a Swiss language, and for photovoltaics the Consuel forms if the financial details include France and the correspondence language is “Français (FR)”.
Transfer to an ERP system: only for companies with financial details in Switzerland.
File manager and CSV export: in all countries.
