🏷️ How to Set Up Consent Status Labels on a Guest Profile

Introduction

Managing guest consent is a critical part of running compliant and effective hotel communications. Bookboost allows you to label guest profiles with consent status labels that reflect each guest's communication preferences. These labels are flexible and fully customizable, meaning you can adapt them to match your property's consent management needs.

Main Concept or Feature Explanation

Consent status labels are labels applied directly to a guest's profile in Bookboost to indicate whether (and how) a guest has consented to receive communications. These labels work alongside the CRM and Unified Inbox to ensure your team always knows who can be contacted and through which channels.

Besides the requirements variation by region, brand, and channel, consent in Bookboost are a structured configuration object, not a freeform label. Each consent has specific required fields (Code, Title, Body, Label, Description) and functional toggles (Auto-Grant, Require Confirmation) that directly affect how guest consent behaves in campaigns.

Use Cases

  • πŸ“‹ Marking guests who have opted in to marketing emails or SMS campaigns

  • 🚫 Flagging guests who have opted out of all communications

  • βœ… Tracking guests with explicit GDPR consent for data processing

  • πŸ“± Distinguishing between guests who consented to WhatsApp vs. email communications

  • πŸ”„ Identifying guests with pending consent that still needs to be confirmed

Advanced Setup

Customizing consent labels for multiple channels:

  • You can create channel-specific consent labels (e.g. "WhatsApp Consent βœ…", "Email Opt-Out 🚫") to give your team granular visibility into guest preferences per communication channel.

  • When building CRM campaigns, use consent status as a filter within your Audience settings to ensure only guests with the appropriate consent status are included in each send.

Bulk updating consent status:

  • When importing guest profiles via the Profiles - Import feature, you can include a consent status column in your CSV to apply labels in bulk rather than updating each profile individually.

Known Issues or Limitations

  1. Deleting a consent label that is already in use on guest profiles may affect filtering and segmentation β€” always review usage before removing a label.

Conclusion

Setting up and customizing consent status labels in Bookboost gives your team a clear, consistent way to manage guest communication preferences. With flexible labelling, you can stay compliant with local regulations, respect guest preferences, and ensure your CRM campaigns always reach the right people through the right channels. Taking the time to configure these labels properly will improve both your compliance posture and the quality of your guest communications. 🎯
