Introduction
Managing guest consent is a critical part of responsible and compliant communication. Bookboost displays consent information directly on each guest profile, giving your team full visibility into whether a guest has agreed to receive communications from your property. This article explains the three consent statuses you may see on a guest profile and what each one means for your communication strategy.
π§ Main Concept or Feature Explanation
Consent refers to a guest's permission for your hotel to contact them via marketing or operational messages. In Bookboost, every guest profile displays a consent status that reflects the current state of that guest's agreement to receive communications. This status is shown per channel (e.g., email, SMS, WhatsApp) and helps ensure your team always communicates in a compliant and respectful way.
The three possible consent statuses are: Pending, Approved, and Revoked.
π Use Cases
Checking whether a guest can be included in a marketing broadcast before sending
Identifying guests who have withdrawn their consent so they are excluded from campaigns
Reviewing new guest profiles to determine if consent still needs to be collected
Ensuring compliance with data privacy regulations such as GDPR when managing guest communications
Configuration and Setup
Consent statuses are automatically displayed on each guest profile in Bookboost. No manual setup is required to view them. Here's how to locate and interpret them:
Navigate to the Profiles section in the left-hand menu of Bookboost.
Search for or open a specific guest profile and scroll to the right until you see the view icon.
Locate the Consent section within the profile general info β this will display the consent status per communication channel.
Review the status shown and refer to the definitions below to understand what action (if any) is needed.
π Consent Status Definitions
β³ Pending
It only arises when "require confirmation" (double opt-in) setting is enabled in the consent configuration. If that setting is off, consent goes directly to Granted or Implicit β it does not pass through Pending. Guests with a Pending status should generally not be included in marketing communications until consent is confirmed.Bookboost will automatically exclude Pending guests from campaigns to help maintain compliance.
β Granted (Implicit): The guest has not taken explicit action but is assumed to have given consent β for example, by booking a room. This status can be used for sending non-promotional updates related to the guest's stay. Guests should always have the option to opt out at any time.
β Granted (Explicit): The guest has actively agreed to consent, either through an external system (e.g., a PMS) or by confirming a pending consent request (e.g., double opt-in). This status is fully valid and passes both implicit and explicit consent checks in campaigns.
π« Revoked
The guest has withdrawn their consent. This means they have previously agreed to receive communications but have since opted out. Guests with a Revoked status must not be contacted for marketing purposes. Bookboost will automatically exclude revoked guests from campaigns to help maintain compliance.
Conclusion
Understanding guest consent statuses β Pending, Approved (including Implicit and Granted), and Revoked β helps your team communicate responsibly and stay compliant with data privacy requirements. Always check a guest's consent status before initiating marketing communications, and trust that Bookboost's built-in safeguards will help protect both your guests and your property. β
