Archive a patient record

The Care Home are able to archive a patient record, and generally it is best practice to encourage the Care Home to amend their patients details from the Atlas PCS device however, there may be occasions where you are requested to complete this action on behalf of the home.

To archive a patient record follow this process:

1. View the patient record by pressing F9 or by viewing the Care Home dashboard.

2. Select actions located on the patient personal tab and click Archive patient.

3. Complete all requested information on the RFC Patient Wizard screen, record the name of the person(s) who has made the request in the contact name box and click next. Check the box next to patient archived is ticked then click finish.

4. The patient record should now display in red. Once this process has been completed on CAPA, request the home synchronise the device for the record to be removed.

Tips

  • Confirm with the person(s) making the request that the patient will not be returning to the home as archiving the patient record will archive all active medication resulting in the medication bar codes no longer scanning. If the patient is simply in hospital or absent from the home for a short period of time the patient record status can be amended appropriately via the Atlas PCS device.

  • If a archived patient has returned to the home the record can be un-archived on the CAPA system (the patients medication however will not be reinstated and will need to be added to the record by the care home or pharmacy).
