How to create an extra

Learn how to create a new extra in the Booking Engine, including optional and mandatory extras, meal extras, pricing rules, availability settings, and how extras can be added to reservations.

Overview

This article explains how to create a new extra in the Amenitiz Booking Engine. Extras allow you to sell additional services or apply additional charges, such as meals or cleaning fees, during the booking process or on existing reservations. The article also covers mandatory extras, pricing logic, and availability rules.


Before you start

  • You must have access to the Amenitiz extranet with Booking Engine permissions.

  • Extras created in Amenitiz are only available on the Amenitiz Booking Engine and PMS.

  • Extras must be linked to a reservation that is tied to a room in your calendar.


Step-by-step instructions

1. Access the extras section

  • Go to Booking Engine in the sidebar of your Amenitiz extranet.

  • Click on Extra charges.

2. Create a new extra

  • Click Create a new extra.

  • Enter the name and description of the extra (mandatory).

  • If you use categories, link the extra to a relevant category.

3. Configure the pricing logic

  • Choose the price calculation method:

    • Fixed amount

    • Percentage

  • Select how the price is calculated:

    • Per article

    • Per guest

Example – meal extras:

  • Charging per guest automatically applies the extra based on the number of guests.

  • Charging per article requires enabling manual quantity so the buyer can choose how many units they want.

4. Define quantity behaviour

  • Enable Manual quantity if you want the buyer to choose the quantity.

  • If manual quantity is disabled, choose whether the extra applies:

    • Once per stay

    • Every day of the stay

    • On arrival day or departure day

Important: When manual quantity is enabled, the extra cannot be applied automatically per day, arrival, or departure.

5. Set automatic or mandatory behaviour

  • Enable Apply automatically if the extra must be added to all applicable reservations.

    • This is typically used for mandatory extras such as cleaning fees.

  • Select the accommodations and rate plans the extra applies to.

Mandatory extras appear above optional extras on the booking engine.

6. Manage availability and restrictions

  • Limit the extra to specific accommodations or rate plans if needed.

  • Choose whether the extra applies once or every day.

  • Set restrictions for specific days of the week if required.

  • Define a prior notice period if the extra must be booked in advance.

  • Restrict the extra to a specific date or period, if applicable.

7. Configure tax and save

  1. Select the applicable VAT rate.

  2. Click Save to activate the extra.


FAQs

Can I create extras for meals such as breakfast or dinner?

Yes. Meal extras are created like any other extra. You can charge per guest or per article and decide whether the quantity is automatic or selected manually.


How do I make an extra mandatory, such as a cleaning fee?

Enable Apply automatically and link the extra to the relevant accommodations and rate plans. Mandatory extras are automatically added to reservations but can be removed when creating a reservation manually from the extranet.


Can I apply a cleaning fee only on departure day?

Yes. Configure the extra to apply once per stay and select the departure day option.


Can I add an extra to an existing reservation?

Yes. Open the reservation from the Activity or Calendar view, click Add an extra, and select one of the extras already created. You can choose to only update charges or to also process the payment.


Are extras sent to OTAs?

No. Extras created in Amenitiz are not synchronised with OTAs. If you need similar extras on an OTA, they must be created directly in the OTA platform.


Can I sell extras without a room reservation?

No. Extras in Amenitiz must be linked to a reservation that is tied to a room in your calendar. It is not possible to sell extras, such as massages or breakfasts, to guests who do not have a room booking.
