Prerequisite: Insights is available to workspace admins and may need to be enabled for your workspace. If you don't see it, you either aren't an admin or the feature isn't turned on for your workspace yet.
Introduction
Insights is the analytics area in your Sana workspace. It shows how your organization is adopting and using Sana, from overall active users down to chat volume, agent runs, and meeting activity. Use it to see whether Sana is being adopted, where engagement is strongest, and how usage is trending over time.
Insights lives under Workspace settings and opens as a single scrolling page with several dashboards stacked one after another, each covering a different part of Sana.
In summary, Insights has the following key characteristics:
Audience: Workspace admins
Scope: Your workspace's own usage
Refresh: Metrics are calculated from live workspace data each time you open the page
Time windows: Trend charts cover the last 30 days; individual cards show all-time totals or rolling 7 / 30 / 90-day windows as labelled
What's in Insights
Insights is organized into dashboards. Each dashboard is a titled section on the page:
Dashboard | What it covers |
Overview | Overall activity and engagement across the whole workspace |
Chat | Chat usage and query volume |
Agents | Agent runs, how they were started, and their outcomes |
Meeting Agent | Meeting activity and participation trends |
Understanding the metrics
Each dashboard is built from a set of cards and charts. The definitions below explain exactly what each one counts.
General
Metric | Definition |
Total users | All members of your workspace whose account is enabled (deactivated accounts are excluded). Includes people who have never signed in |
Active users (DAU / WAU / MAU) | Distinct users who did anything in Sana (sent a chat message, ran an agent, The Meeting Agent ran for the user who set it up) in the last 1 / 7 / 30 days |
Engagement funnel | The user base by depth of engagement, in four stages: activated (users who have signed in to Sana at least once), then monthly active (MAU), weekly active (WAU), and daily active (DAU) |
MAU / total users | Share of your workspace that was active in the last 30 days |
WAU / MAU | How much of your monthly-active base is also active weekly, a measure of stickiness |
Chat
Metric | Definition |
Total chat queries | Every message a user has ever sent in chat |
Queries per user per day | Average messages sent per active chat user, per day, over the last 30 days |
Avg queries / user | Chat messages sent in the last 7 days divided by the number of distinct users who sent at least one message in that period |
Avg queries / chat | Average number of user messages in a single chat conversation |
Agents
Metric | Definition |
Total agent runs | Every time an agent has run |
Agent runs (7 / 30 days) | Agent runs started in the last 7 or 30 days |
Total agents | Number of agents that currently exist (deleted agents are excluded) |
Avg runs / agent | Average number of runs per agent that has run at least once |
How agent runs were started | Breakdown of runs by how they began: manually, on a schedule, triggered by an event, or automatically by the system |
Run outcomes | Completed runs broken down by final status (for example succeeded or failed) |
Success rate | Share of completed runs that succeeded |
Meeting Agent
Metric | Definition |
Total meetings joined | Every meeting the Meeting Agent has recroded, all time (shown on the Overview dashboard) |
Meetings joined | Meetings the Meeting Agent recorded in the last 7 / 30 / 90 days |
Meetings joined per day | Meetings the Meeting Agent recorded each day over the last 30 days |
Meeting agent users | Distinct people who took part in a meeting the Meeting Agent recorded, counted by recency: quarterly (last 90 days), monthly (30 days), weekly (7 days), and daily (last 1 day) |

Notes on the data
Admin-only. Insights is visible only to workspace admins. Regular members won't see it in the sidebar.
Your workspace only. All numbers reflect your own workspace's activity, never other customers'.
Rolling windows. Cards labelled "Last 7 days", "Last 30 days", etc. are rolling windows counting back from today, not calendar weeks or months.
Days with no activity. Trend charts show every day in the window, including days with zero activity.
New workspaces. If a metric has no data yet (for example no completed agent runs), it displays as "—" instead of zero.
Frequently asked questions
Q: Who can see Insights?
A: Only workspace admins. If you're an admin and still don't see it, the feature may not be enabled for your workspace yet.
Q: How often do the numbers update?
A: They're calculated from live workspace data each time you open the page, so refreshing shows the latest figures.
Q: Does Insights show data about other companies or users outside my workspace?
A: No. Every metric is scoped to your own workspace.
Q: Why does a card show "—"?
A: There's no data for that metric yet, or a rate can't be calculated because its denominator is zero (for example, no completed agent runs to measure a success rate against).
