Reporting on review status

Note: You will need 'Administrator' permissions to report on review status.

Go to the Administration Centre > Reviews tab. This table displays a list of all reviews on your account. Use the Filter on the right to narrow down the results. Common filters you may want to apply include:

  • Status = Overdue

  • Due date = the date your current/recent batch of reviews is due

  • Form used = the form being used for your current/recent batch of reviews

  • Review title = the title being used for your current/recent batch of reviews

Once you're filtered on the reviews you need, you can look in two places to see their 'completion status':

  • The "Stage" column tells you which stage of the workflow the review is currently at. For example, if you're using the standard 3-stage workflow, "Assessment phase 1/3" means the employee hasn't yet submitted their self-assessment. You can filter on "Stage" too to see which reviews are at which stage separately.

  • The "Contents" column tells you how many comments have been added by the employee and manager. The top line turns blue with employee comments and the bottom line turns blue with manager comments.

  • If you export the data to Excel, these visual bars will convert into words/numbers so you can filter on this column.

You'll also see an "Edit" button on each row which you can click to see the review's details.

Here you will see the specific number of responses given by the employee, manager and feedback-givers ("others").

We advise that you save a Reviews report for each round of reviews you do. For example, apply filters to find your "2025 Annual Reviews" and click "Save report". This is useful for tracking the completion of a specific set of reviews.

Once you've done this, click "View related data" > "Completion metrics for these reviews" for a visual overview of the current completion status or "Feedback metrics for these reviews" for a status update on 360 feedback.

People completed a review = Total number of people who completed at least one review that matches the filtered criteria

People have no completed reviews = Total number of people who started at least one review that matches the filtered criteria but haven't completed one

People have none = Total number of people who don't have a review matching the filtered criteria

People completed a review = % of people who have a completed review matching the filtered criteria
