Review groups for automated review cycles
Talos Perform can be configured to automatically create new reviews either on set calendar dates or relative to the user's start date (useful for probation cycles). You also can have multiple review cycles on your account if sections of your organisation follow different timelines for their reviews.
Here's an example of a custom review cycle:
It shows the date at which the cycle begins - cycles are always 12 months long.
There's a diagram showing the two reviews that take place during the year.
The turquoise one is the next review in the series, according to today's date. Any new reviews created now will be titled "End-of-Year Review" and will be set with a due date of 1st January.
Even if you use this system to automatically create reviews, each review can still be modified by an 'Administrator' independently.
So you can have all reviews set up for 1st August, but nearer the time you can adjust individual dates to suit the people conducting them. You can also remove unnecessary reviews or set up additional reviews on an ad-hoc basis throughout the year, such as performance improvement reviews or specific check-ins.
Relative review cycles
We can also set-up relative review cycles based on the start-date of the user. These are especially useful for probation reviews and allows you to automate this process. Alternatively, you may wish to hold your annual reviews one year after an employee starts at your organisation rather than having one due date for everyone.
Setting up review cycles
Please contact support@appraisd.com to set up your review cycle. We will need the following information:
Names of your review groups (one for each cycle you need)
Title of each review
Which form each review should use (this can either be the same for everyone in the cycle or it can be the default form assigned to each employee)
When each review should be created in the system (this should be the number of days prior to the due date)
Workflow for each review
Due date of each review
Once we've created your cycle, you will need to assign your users into the correct review group corresponding with the cycle/s. The review group tells this system which review cycle they should follow.
Warning: Your users will not be set-up with reviews automatically unless they are assigned to a review group at the time of the review creation (reviews are not backdated for anyone assigned to a review group later).
Using review groups to determine which adhoc check-in forms (quick-review forms) users have access to
If you create multiple review groups, you can also use them to determine the adhoc check-in forms a user has access to. You don't need to have any automatic reviews set-up in order to use review groups for this.
Click on the Administration Centre and then select the Review Groups tab.
Click into each of your review groups and toggle on the relevant check-in forms for the users in the group. If your account is configured to allow both employees and managers to 'start a check-in', you can also control which forms are available specifically. For example, you may have a PIP form that only managers should be able to trigger.
