Why Workflows? And why change?

🔐 The old rights management system made it possible to meet a simple need: authorizing or prohibiting certain uses.

But as soon as several rights/profiles had to be managed, there were contradictions.

✨ The new system is clearer, because it separates the rules into three levels:

Access control : where and when the user can access.

Workflow : what the user can take.

Quotas : how much the user can take.

✅ This new logic brings several advantages:

⚠️ Before, the same user could receive several rights that contradicted each other.

For example, one right could authorize the Protective equipment category, while another right could restrict that same category. This type of conflict could also concern a product, an item or a quota.

With the increase in the number of users, companies and data, this management also became too technically heavy. It could make the system less robust and create more bugs or unexpected behaviors.

🚀 With Workflows, the logic is simpler: we directly define what the user can take, step by step.

For example:

Authorized category: Protective equipment

Authorized product: Gloves

Authorized item: Nitrile gloves size M

Applied quota: 2 pairs per week

🎯 This new system makes it possible to simplify, secure and make rights management more reliable. It avoids contradictory rules, makes it easier to identify errors and limits the risks of incorrect configuration.

💡 Tip

It is preferable to have a clean catalogue, with one product grouping several items, rather than a setup where 1 product = 1 item.

The more structured the catalogue is, the more practical and efficient the creation of Workflows will be.
