Inactive balance in user card and user list [Internal]

What is an inactive absence balance?

An inactive balance is a vacation balance that has been active and valid for a limited time during a given holiday period. The reason why a balance can become inactive is that an absence balance has a start date and an end date and if the user selects a date outside the balance date range the balance will be shown but it will be greyed out to indicate that it is inactive.

Why we need to show an inactive balance?

With the greyed out balance card we try to recreate the logic behind the greyed out row that you used to visualise in the vacation planner.

For each user we need to provide an overview of the balances that are active or have been active or will be active in a given holiday period. Showing all the balance will give a full overview of the balances in a given holiday period.

How the inactive balance work and how to read it?

There are multiple reasons for a balance to have limited period of validity within a given holiday period. The most common are the followings:

  1. A balance might follow a user's start date and end date

  2. A user might have changed employment type and consequently accrues a different absence type (note: a different absence type not a different vacation type)

  3. An absence type might have an end date

When navigating in the balance card if you select a date outside the range date of the absence balance you will visualise a grey card indicating that at the date selected that balance is not active yet or anymore.

Where we show the inactive balance?

The inactive balance is shown in the user card and in the user list.

Note that case 1. does not work in the user list since it requires extra work on the filters that will be addressed at later point

Scenarios with inactive balance

1. User's start date and end date

  • Example: the holiday period is 01-09-2020 - 31-08-2021. A user has a start date on 01-03-2021 and end date on 30-10-2021 and accrues vacation. The absence balance will be valid only in the period within start date and end date.

    If you navigate to a date before the user's start date you will see the balance card greyed out with text informing from when the absence type will be available. In this case is available from 01-03-2021.



    If you navigate to a date within the user start date and end date the balance card will appear not greyed out to indicate that the absence is valid


    If you navigate to a date after the user's end date the card will be greyed out with text informing until when the absence was valid. In this case the absence was valid until 30-10-2021.

2. A user might have changed employment type and consequently accrues a different absence type (note: a different absence type not a different vacation type)

We have two absence types, with a vacation type linked to it, that apply to the following titles:

Ferie FT: Supervisor, Region Supervisor, Administrator, Lønbogholder, Distriktschef, Butikschef, Souschef, Salgsassistent

  • Example: a user has Butikschef title from 2021-09-01 to 2021-10-31 and accrues "Ferie FT". On 2021-11-01 the user becomes Butikschef PT and accrues Ferie PT

    When in user card and selecting a date before the change in employment type the active card is the "Ferie FT" and the inactive is the upcoming "Ferie PT" available from 2021-11-01

When selecting a date after the change in employment type the active card is the “Ferie PT” and the inactive is the previous “Ferie PT” available to 2021-31-10

3.Absence type with an end date

Sometimes clients require to put an end date to an absence type and to create a new one. Often this need is due to the need for a different calculation method. In such a situation the absences valid for limited period during a holiday period will be shown as active or inactive depending on the date you select in the user card_vacation balance tab.

Example

We have two absence types: Ferie that ends on 30-11-2021 and Ferie NEW that starts on 01-12-2021. The holiday period is 01-09-2021 - 31-08-22.

When navigating on the user card of a user, if you select a date after an absence end date you will visualise that absence balance (Ferie) greyed out and info regarding until when that balance was available while the other absence type (Ferie NEW) will be shown as active.

Following the same logic, if you navigate to a date before an absence type is available it will be shown inactive.

Notice that the grey balance card will be visible only for those balance that have been active or will be active within a given holiday period. If a balance was or will never be active in a given holiday period then the balance card will not appear at all.
