Preparing/formatting files for the import tool

How to prepare files for import into the system

Written by Bardia Sheikhany

We will use daily budget import as our example

For daily import, you need 3 columns:

  • Date

  • Department

  • Budget

In the screenshot below, we have a file for daily budget for November 2025, for a store called "200 Live sale";

The date format doesn't matter as you can select the date format you made the file with, when you import. But for the "budget column", right click on the top of it's column (for me, it's where it says "C"), then click on "format cells";

Then, click on "number":

And then just click on "ok".

Now our file looks like this:

What we do after this, is select every single column and row with data in it, like this;

Then copy what you have selected, and paste it into a brand new excel file - this step is necessary to make sure the import file doesn't have any empty lines with no data, as the system does not accept the file if it has that.

After pasting the data into a new file, go to file -> save as

Under "file format", select this;

After selecting this, just save the file and import it into the system.

You might be asking yourself "But I am importing monthly salary budget, not daily budget". In which case the formatting of the rows and file work the same way. The only difference is that you need 4 columns;

  • Store

  • Budget

  • Month

  • Year

The order in which you put the columns doesn't matter, as long as all of these 4 columns are in the file.
