How to transfer, copy or convert shifts to open shifts in the schedule using the Transfer button.

Learn how to use the Transfer button in the schedule to transfer or copy shifts between employees, or convert them into open shifts.

Additionally, the original employee must have an active contract in SameSystem to use the shift transfer tool. If the employee is no longer active, the tool cannot be used to transfer their shifts.

The Transfer button allows you to transfer or copy multiple shifts from one employee to another, or convert shifts into open shifts. This feature is particularly useful when ending an employee’s contract, as it ensures that their scheduled shifts are not lost but made available for reassignment.

This tool is particularly useful when managing shifts for employees who are leaving or unavailable, ensuring smooth operations and proper shift coverage.

From the dialog in the schedule, you can choose to 👇🏽

  • Transfer moves shifts from one employee to another.

  • Copy copies the selected shifts to another employee, meaning both employees will have the same shift pattern.

  • Transfer to open shifts marks the shifts as open so they can be reassigned later.

📌 Note: It is not possible to transfer or copy absences. Active Contract Requirement: The original employee must have an active contract in SameSystem to use the shift transfer tool.

FAQs

What happens if the original employee is no longer active? If the original employee does not have an active contract, you will not be able to use the shift transfer tool. In such cases, you may need to manually create new shifts or reassign them through other scheduling methods. Can I transfer multiple shifts at once? Yes, the shift transfer tool allows you to select and transfer multiple shifts in one action, streamlining the process.

Copy shifts from one employee to another

Convert shifts to open shifts within a selected period To convert assigned shifts to open shifts, follow these steps:

Transfer or copy shifts to another employee

  1. Go to Department → Schedule.

  2. Click the three dots and select Transfer.

  3. Select the date range.

  4. Under From, select the employee whose shifts you want to move.

  5. Under To, select the employee who should receive them.

  6. Choose Transfer to move the shifts, or Copy to give both employees the same pattern.

  7. Confirm.

Convert shifts to open shifts

  1. Go to Department → Schedule.

  2. Click the three dots and select Transfer.

  3. Select the date range.

  4. Under From, select the employee whose shifts you want to move.

  5. Under To, select Open shifts.

  6. Confirm.

The shifts move to the Open shifts line and can be reassigned. The employee must have an active contract for this to work. Absences cannot be transferred.
