MiBooker User Guide

An overview of MiBooker: the dashboard, View Timeline, Room Calendar, Bookings and Configuration

Written by Dave Hyde

Introduction

The MiBooker module replaces the old RUM system and is where Trust staff can book rooms. In the future, additional functionality will let staff also book individual workspaces and potentially even parking spaces.

To access the app, log in to the Micad Pro Hub and navigate to the MiBooker portal. Click Go > to open the application.

The landing page is your personal dashboard. It gives you an overview of your upcoming bookings, your favourite sites, and rooms that are currently available based on the Select location field.

Depending on your requirements, you may prefer to use View Timeline if you are looking at a particular day, so you can see all bookings at that site, or Room Calendar if you want to see what capacity the rooms currently have. Both are described below.

View Timeline

View Timeline screen with numbered areas 1 to 4

1. Location requirements

Select the site you want to view. This updates all sub-functions so you are looking specifically at the chosen site's rooms on a specific date: rooms that can be booked for a certain time, and that have the capacity to hold a meeting of a given length or number of people.

2. Filter function and visual style (Gallery or Timeline)

The filters function is not currently available and is expected soon. The option to choose between a gallery or a timeline view will let users see the rooms visually rather than just seeing the room coding.

3. Location's available rooms to book

This lists all available rooms at the site. It only lists bookable rooms, so you won't be able to book a cleaner's cupboard or corridor by mistake.

4. Timeline of availability

The available rooms are broken down into a daily schedule, so you can identify gaps in each room's usage. This is useful if you only need a quick 20-minute 1-2-1 or some private space for a Teams call, as you can fill some of the gaps or find a room that can be used immediately.

Room Calendar

Room Calendar screen with numbered areas 1 to 4

1. Location

Select the site you want to view. This updates all sub-functions so you are looking specifically at the chosen site's room calendars.

2. Calendar – date selection

Navigate to a specific month, and easily return to Today (the current month).

3. Meeting room selection

Select an individual room to see its calendar for the entire month. Hover over the information icon to open a pop-up showing a picture of the room, the room's function, and the maximum number of occupants.

4. Calendar – overview

The calendar shows the level of usage for each day of the month, based on the room's booking window (not all rooms are bookable between 9 and 5, for example). The % figure shows how much time the room is booked for out of its total availability. For example, if a room is available for 10 hours a day and has been booked for 3 of those hours, it shows 30%. If the same room was booked for 8 hours, it would show 80%.

Bookings

Bookings screen with the My bookings toggle and the Live Booking Library

1. My bookings toggle

Switch between seeing every active booking currently on the system, or just the bookings that you have active.

2. Live Booking Library

View every booking at every site across the Trust. This is useful if you are trying to identify where a particular booking has been made, as you can use the search fields to narrow down by type, client and date.

If you are only interested in your own bookings, use the My bookings toggle. Otherwise you will have hundreds of bookings to look through.

Configuration

Configure menu showing System Settings

The Configure menu contains the system settings. Unless you are an administrator-level user, you will not have access to this page.

The system settings let you manage room availability and operational times, set up additional rooms, adjust user permissions and location notes, and update the audit questions to be completed after rooms have been used.
