Project Overview - Managing and Organizing Your Projects

Navigate and manage your projects in Eturnity Expert from the Projects Overview, with view options, filtering, sorting and customization.

What is the Projects Overview?

The Projects Overview is your central hub for managing all your solar projects in Eturnity Expert. It provides a comprehensive view of every project in your company, allowing you to quickly find, filter, sort, and track projects throughout their lifecycle—from initial customer contact through to project completion.

The Projects Overview offers multiple viewing modes to match different workflows:

  • Projects Overview (Table View): A detailed table displaying all your projects with customizable columns and comprehensive filtering options

  • Kanban Board Views: Visual columns organized by project stages (Selling, Delivering, After Sales, Closed) to track project progress at a glance

You can access the Projects Overview by navigating to Projects > Projects Overview from the main menu.

Understanding View Options

The Projects Overview provides different views optimized for different use cases. Each view offers unique benefits depending on how you prefer to work and what information you need to see.

Projects Overview (Table View)

The table view is the default view and provides the most comprehensive information about your projects. It displays your projects in a traditional table format where each row represents one project and columns show various project attributes.

Key benefits of Table View:

  • See all project details at once with customizable column visibility

  • Sort by any column (project name, reference, last update, project status)

  • Apply advanced filters across multiple project attributes simultaneously

  • View projects across all stages in one unified list

  • Bulk selection for exports and operations

The table view is ideal when you need to analyze project data, export project lists, or work with projects across different stages simultaneously.

Kanban Board Views

The Kanban views organize your projects into visual columns based on project stages. These stage-based views are automatically generated from your company's project status configuration.

The four fixed stages are:

  • Selling: Projects in the sales and proposal phase

  • Delivering: Projects in planning, installation, or delivery phase

  • After Sales: Projects in commissioning, monitoring, or support phase

  • Closed: Completed, archived, or cancelled projects

Within each stage view, you'll see columns representing individual project statuses (which your administrator can customize in Settings > Project Status). Each project appears as a card that you can drag between status columns to update its progress.

Tip: Each project status belongs to exactly one stage. When you switch to a Kanban view, you only see projects in that specific stage, making it easier to focus on projects at similar phases of completion.

Key benefits of Kanban Views:

  • Visual workflow management with drag-and-drop status updates

  • Focus on projects at a specific stage of completion

  • Quick overview of project distribution across statuses

  • Reduced clutter by showing only relevant projects for each stage

  • Intuitive project progression tracking

Switching Between Views

You can easily switch between different views using the view tabs located at the top of the Projects Overview page, just below the main action buttons.

  1. Navigate to Projects > Projects Overview

  2. Look for the view tabs below the search and filter controls

  3. Click on any tab to switch views

The system automatically remembers your last selected view and will return to it the next time you visit the Projects Overview page.

Note: The available Kanban view tabs depend on your company's project status configuration. If you don't see all four stage tabs, it may be because your company hasn't configured statuses for all stages yet.

Searching for Projects

The search functionality allows you to quickly find specific projects by name, customer name, reference number, or other text-based attributes.

  1. Locate the Search field at the top-left of the Projects Overview page

  2. Type any text into the search field (e.g., customer name, project name, reference)

  3. The project list updates automatically as you type, showing only matching projects

  4. To clear the search, delete the text from the search field

Search works across all views—whether you're in table view or any Kanban view. When searching in a Kanban view, you'll only see matching projects that belong to that specific stage.

Tip: The search function looks for partial matches, so typing "Smith" will find all projects with "Smith" anywhere in the searchable fields—like "John Smith" or "Smithson Industries."

Filtering Projects

Filters allow you to narrow down your project list based on specific criteria. The filtering system is highly flexible and supports multiple simultaneous filters to help you find exactly the projects you need.

Applying a Filter

  1. Click the Filter button (funnel icon) at the top of the Projects Overview

  2. In the filter dropdown that appears, click Add Filter

  3. Select the attribute you want to filter by (e.g., Project Status, Project Manager, Project Origin, Technologies)

  4. Select the filter constraint (e.g., "is," "is not," "contains," "is before," "is after")

  5. Choose or enter the filter value(s):

    • For status or dropdown fields, select one or multiple options

    • For date fields, select a date from the date picker

  6. The project list updates automatically once you've completed all required filter fields

Adding Multiple Filters

You can apply multiple filters simultaneously to create very specific project lists. For example, you might filter for "projects managed by Sarah Johnson that are in Selling stage and have PV technology."

  1. Apply your first filter as described above

  2. Click Add Filter again

  3. Configure the second filter

  4. Repeat as needed—there's no limit to the number of filters you can apply

All filters work together using an "AND" logic, meaning projects must match ALL active filters to appear in the results.

Common Filter Options

The available filter options include:

  • Project Status: Filter by specific project statuses (note: in Kanban views, you can only filter by statuses within that stage)

  • Project Manager: Show only projects assigned to specific team members

  • Project Origin: Filter by how the project was created (manually, from Solar Calculator, from API, etc.)

  • Technologies: Filter by technology types included in the project (PV, Battery, E-Mobility, Heating)

  • Project Markers: Filter by custom internal labels/tags your company has defined

  • Last Update Date: Filter by when projects were last modified (useful for finding stale projects)

  • Reference: Filter by project reference numbers

  • Customer: Filter by customer name

Removing Filters

  1. Click the Filter button to open the filter panel

  2. Find the filter you want to remove

  3. Click the X or remove button next to that filter

  4. The project list updates automatically

To clear all filters at once, look for a Reset Filters or Clear All option in the filter panel.

Tip: Filters are view-specific. When you switch from table view to a Kanban view, the system automatically adjusts project status filters to only show statuses relevant to that stage.

Sorting Projects

Sorting allows you to organize your project list in a meaningful order. You can sort by various attributes to quickly identify high-priority projects, find recent updates, or organize alphabetically.

Applying Sort

  1. Click the Sort button (icon with up/down arrows) at the top of the Projects Overview

  2. Select the attribute you want to sort by:

    • Project Name: Alphabetical sorting by project name

    • Reference: Alphanumeric sorting by project reference

    • Last Update: Sort by most recently or least recently modified

    • Project Status: Sort by status order (only available in table view)

  3. Choose the sort direction:

    • Ascending: A to Z, oldest to newest, or lowest to highest

    • Descending: Z to A, newest to oldest, or highest to lowest

The project list updates immediately to reflect your sorting preference.

Note: Currently, you can apply one sort criterion at a time. Applying a new sort replaces the previous sorting order.

Sort Behavior in Different Views

Sort options adapt slightly depending on which view you're in:

  • Table View: All sort options are available, including sorting by project status

  • Kanban Views: Project status sorting is not available since projects are already organized by status columns

Customizing Your View Settings

The view settings allow you to customize what information you see and how it's displayed. These settings help you optimize the Projects Overview for your specific workflow needs.

Accessing View Settings

  1. Look for the View Settings button (gear icon) at the top of the Projects Overview

  2. Click it to open the view settings panel

Column Visibility (Table View Only)

In table view, you can control which columns are displayed, helping you focus on the most relevant information while reducing visual clutter.

  1. Open View Settings

  2. Look for the Columns section

  3. Check or uncheck columns to show or hide them:

    • Project Name

    • Customer

    • Reference

    • Project Manager

    • Project Status

    • Project Origin

    • Last Update

    • Project Variants

    • And more depending on your configuration

  4. You can also use Select All or Deselect All to quickly toggle all columns

Your column preferences are saved automatically and persist across sessions.

Page Size

The page size setting controls how many projects are displayed per page in table view.

  1. Open View Settings

  2. Look for the Page Size or Items per Page option

  3. Select your preferred number (typically options like 25, 50, 100, or 200)

  4. The table updates immediately to show the selected number of projects per page

Larger page sizes reduce the need to navigate between pages but may take slightly longer to load. Choose a size that balances convenience with performance.

Technology Count Toggle

  1. Open View Settings

  2. Look for the Show Technology Count or similar toggle

  3. Enable it to show technology counts on project cards

  4. Disable it for a cleaner, more minimal card design

Project Marker Date Toggle

This setting controls whether dates associated with project markers are displayed in the project list.

  1. Open View Settings

  2. Look for the Show Marker Date or similar toggle

  3. Enable or disable as preferred

Tip: All view settings are saved per user, so you can customize the Projects Overview to match your personal workflow without affecting how other team members see their project lists.

Working with Projects in the Overview

Opening a Project

To open and work with a project:

  • In Table View: Click anywhere on the project row

  • In Kanban Views: Click on the project card

The project will open in a new view.

Changing Project Status (Kanban View)

One of the most powerful features of Kanban views is the ability to update project status through simple drag-and-drop:

  1. Navigate to the appropriate Kanban view for your project's current stage

  2. Find the project card you want to update

  3. Click and hold on the project card

  4. Drag it to the new status column

  5. Release to drop the project into the new status

  6. The project status updates automatically

Important: You can only move projects between statuses within the same stage. To move a project to a different stage (e.g., from Selling to Delivering), you need to open the project and change its status from within the project view.

Best Practices

Choose the Right View for Your Task

  • Use Table View when: You need to analyze multiple projects simultaneously, export data, or work across different stages

  • Use Kanban Views when: You're managing project workflow, updating statuses, or focusing on projects at a specific stage of completion

Use Kanban for Quick Status Updates

When you need to update multiple project statuses quickly, the Kanban view's drag-and-drop functionality is much faster than opening each project individually.

Customize Columns for Your Role

Hide columns you rarely need to reduce visual clutter:

  • Sales team: Focus on customer, project origin, and technologies

  • Project managers: Focus on project status, last update, and project manager

  • Administrators: Show all columns for comprehensive oversight

Troubleshooting

I Don't See All Kanban View Tabs

The Kanban view tabs are generated based on your company's project status configuration. If you're missing a stage tab, it means your company hasn't configured any statuses for that stage yet. Contact your administrator to set up project statuses in Settings > Project Status.

I Can't Find a Project I Know Exists

Check the following:

  • Clear any active filters that might be hiding the project

  • Clear the search field

  • Switch to table view to see projects across all stages

  • Check if you have permission to view that project (some users may only see projects assigned to them)

Filters Aren't Working as Expected

Remember that filters use "AND" logic—projects must match ALL active filters. If you have too many filters active, you might not see any results. Try removing filters one at a time to identify which filter is too restrictive.

I Can't Drag Projects Between Columns in Kanban View

Ensure you're trying to move the project to a status within the same stage. Cross-stage moves aren't supported via drag-and-drop. To move a project to a different stage, open the project and change its status from within the project view.
