Individual custom fields are either available for configuration at the system level or at the company level. Within the system, there are a predefined number of custom fields covering the different types of data: Date, Number, Money, and Text. Custom fields are therefore not created but exposed from the Custom Fields screen by scanning the list for the next available "empty" Custom Field corresponding to the needed type and making the necessary changes.
Select the Type of Data you wish to add a custom field for by clicking on the downward arrow. The Type of Data drop-down list defines the Screen (e.g. Assignment, Employee, Cost Estimate, etc) on which the custom field will be placed on.

Next, select the Type of Field by clicking on the downward arrow. Choose from Text, Long Text, Money, Date, and Number. Note that, when selecting a value from the drop-down list (e.g. Text), the search results will return only Custom Fields for that type with a prefix of "CF_TEXT".
Scan the list for the next available empty custom field corresponding to the needed type. Empty custom fields that can be "exposed" will only contain a Custom Field Name and no other data will have been entered. Click on the pencil icon to add the custom field requirements.
Note: for custom Text and Long Text fields different Maximum Length Values are available:
Text
44 Text Fields provide a maximum length of 100 Characters
11 Text Fields provide a maximum length of 50 Characters
5 Text Fields provide a maximum length of 25 Characters
5 Text Fields provide a maximum length of 10 Characters
Long Text
10 Long Text Fields provide a maximum length of 50,000 Characters
Note, Long Text Field type is not supported for both Quick Workflow and traditional usage due to its characteristics.
When scrolling down the list, the CF_TEXT numbers are increasing whereas the maximum length values of the fields are increasing. It is recommended that you select the next available empty field that best meets the maximum length. An empty Custom Fields will have no Field Caption name populated and Show value is "No".
On this screen, you can now configure the custom field. If information already exists in the custom field you selected, return to the previous screen and select a different one of the same type, unless you wish to overwrite the existing custom field.
The fields available are:
Custom Field Definition for Field: This is a system-defined field name and cannot be changed.
Section: If the custom field is not to follow the last standard field on the page, select a section from the drop-down list. This allows you to group related custom fields together. Select from one of ten sections.
Section Caption: Define a label (up to 50 alphanumeric characters). This is the label that is displayed on the screen. There can only be one section caption per section. If more than one caption is entered, the caption defined on the first custom field with that section number will be used. If this field is blank then the caption will also be blank.
Caption: This is the name of the custom field displayed on the screen. This field can be up to 50 alphanumeric characters.
Default Value: This can be up to 255 alphanumeric characters but can be limited by the defined max length. This field is only enabled for Text custom fields.
Max Length: Defines the maximum length for the custom field. This can be 10, 25, 50, 100 or 50000 for long text
Multi Line: This can be checked to allow the custom field to be multiple lines. For the Long Text field data type, this is enabled by default and unchangeable.
Enabled: This can be checked to allow the user to enter a value in the custom field. Disabling a checkbox may be used when a custom field is automatically populated and the user should not be able to edit the value.
Required: Can be checked to require the custom field to be entered before saving the record.
Authorization Screen Available: Select if the field needs to be used in the Authorization screens.
Lookup Field: Once the custom field record is saved, the Lookup field checkbox is then editable. The Lookup Field checkbox can be checked to make the custom field a type-ahead drop-down list.
Display on Remote Work Request Form: This allows custom fields at the system and company level to be displayed in the review step below the remote work policy slider. This option only applies to Assignment Destination Custom Text (Long Text not included), Date and Numeric Fields.
Note: For custom field configuration for the Remote Work Request form and Mobility Manager Widget, not all custom field configuration are honored. This includes:
Default Value - This will not appear in the Remote Work Request form and Mobility Manager Widget
Span the Entire Row Checkbox - This will not reflect in the Remote Work Request form
Section Names - This will not appear on the Remote Work Request form
Populate the screen and click
to save the changes.
Usually, you enter the same Column and Row Placement numbers in both the Edit Placement section and the Grid Placement section.
Please contact your Equus representative if you require a system level custom field to be available at the company level. If you try to configure a custom field at the company level and no fields of that type have been allocated to the company level, you will encounter the below message:
