What are Checklists?

Checklists are used to drive and enforce processes. You can configure them to match your business processes for move types and/or different services.

There are two types of checklists - assignment and company checklists.

Assignment Checklists

Assignment Checklists can be assigned to relocation records and assist the Mobility Coordinator by driving them through the process.

Checklist items (also known as checklist tasks) can also be assigned to the employee, so the assignee is reminded of key tasks that are needed to make the move process smoother.

These checklists will appear on the Assignment Checklists screen.

Company Checklists

Company Checklists can be used to enforce company-level processes, and are useful for scenarios such as setting up and tracking the status of projects, new site set-up, and periodic payroll processes. These checklists will only pull data from company-level tables.

Similar to Assignment Checklists, company-related tasks can be created and assigned to resources through Company Checklists. Notifications and reminders for company checklist tasks are also included in Landing Experience and Dashboard widgets.

These checklists will appear on the Company Checklists screen.

What are the benefits of Checklists?

The main benefits of using Checklists in the Equus Platform are:

  • Translate business process in to-do-list

  • Assignable tasks

  • Reminders to assigned resource/employee

  • Automatic and manual completion

How can Checklists be used?

When Checklists are in use, there is a step-by-step instruction for a user/users to follow in order to complete a sequence of tasks / activities in the Equus Platform. They can be configured to tell the user/users what to do, how to do it and when to do it. They can have dependencies and predecessors, meaning that a checklist and the tasks belonging to it only trigger when certain conditions are met.

Assignment Checklist tasks can be assigned to different user types, so internal (Global Mobility Advisors), external clients (HR Business Partners) and external employee (Assignees) can be assigned tasks specific to their parts of the process.

Company Checklists can be utilized to setup tasks and corresponding reminders such as the setup of new sites by internal resources, tracking the status of projects, and walking users through the periodic payroll process.

Checklists are a great way of managing a sequence of activities needing to be completed by different users. They are also a useful tool for tracking KPIs and SLAs as the date a task is issued and completed can be reported on and used to measure performance against expected timelines.

Where are Checklists templates and tasks used within the Equus Platform?

Checklists templates can be associated to tasks which can be launched when an Authorization is approved and can also be integrated to Services. This can be used in Mobile Employee Experience (MEE) and Landing Experience.

What are the configuration steps to using Checklists?

Prior to using the checklist functionality, there are specific system configuration tasks that must be completed and or reviewed in advance of building a Checklist Template.
