Depensys and mCare Integration Guide

As part of the commitment to have a connected care suite of products within PCS, DepenSys has been added to the ADT hub.

This integration will allow residents who have been created, discharged or transferred within mCare to be automatically updated in DepenSys. The integration will provide a much smoother setup process for new customers who have purchased both systems and will ensure both products are kept up-to-date throughout the customer’s journey with us.

If you are setting up the integration with support from our team, please ensure impersonation access is enabled for your organisation. This allows configuration to be completed directly within your DepenSys environment. Once enabled, a member of the team will log into your DepenSys platform to configure the HubSpot IDs. This is done by navigating to the All Clients page and selecting the edit (pencil) icon next to the relevant client.

Please contact customer support to configure a home’s HubSpot ID, go to the All Clients page and select the relevant client. Then choose the edit (pencil) icon next to the home to open the Edit Home page. Enter the Location HubSpot ID for your organisation and select Save to complete the setup.

Once enabled in DepenSys, open Monitor (mCare) and go to the Admin menu –Organisation details and select the care site (blue background) you wish to enable the integration for. Under the Integrations section on the care site page, there will be a toggle for Depensys

Click the settings cog button and ensure the integration is set to Read and Write. Within this page, it is also possible to perform a manual sync of residents if needed by clicking the Sync button. This page will also inform you of when residents were last synced and if there were any errors.

Once the setup is complete, the following information should begin syncing between mCare and DepenSys:

  • Resident Forename

  • Resident Surname

  • Admission / transfer in

  • Discharge / transfer out

  • Bed – room number from mCare

Note: Residents will come across to DepenSys first as a TCI, as the needs assessment must be completed before a resident is fully admitted. This is part of the normal admission workflows for DepenSys.

Once the Integration is complete, this will enable a series of new features focused on improving flows of data between mCare and Depensys:

  1. Merge utility Tool - For details on how to merge residents between Depensys and mCare, please veiew the user guide here - DepenSys–mCare Resident Merge Utility Guide | DepenSys

  2. Decision Insights Version 2 gives you far more mCare data at your fingertips while you are assessing a resident’s dependency in DepenSys. It turns day-to-day care notes from mCare into clear trend charts in DepenSys and next to the needs questions you are scoring, helping you make more confident, evidence-based decisions - Decision Insights 2 User Guide | DepenSys

  3. COMING SOON: Dependency scores flowing from DepenSys back in to mCare Dependency assessments that can be used to build care plans
