From this update DepenSys will retain the history of shift changes, allowing users to track and review their home shift adjustments and keep them inline with the changing needs of their residents

Overview

DepenSys now retains a full history of shift changes and presents this information through clear visual dashboards.
This allows homes to demonstrate not just what staffing looks like today, but how staffing has evolved in response to changing resident dependency.

Key capabilities include:

  • Historical tracking of shift changes

  • Visual comparison of required vs actual staffing

  • Unit-level and shift-level trends

  • Clear identification of coverage gaps or risks

Shift History Tracking

What is shift history?

Shift history records how staffing levels for each shift have changed over time.
Every update to staffing allocations is retained, creating an auditable timeline.

This includes:

  • Changes to staff numbers

  • Changes to staff grades

  • Reallocation of staff between units

  • Adjustments driven by changes in resident needs

Why shift history matters

Shift history enables you to:

  • Prove responsiveness to increasing or decreasing dependency

  • Show proactive staffing adjustments rather than reactive fixes

  • Evidence safe staffing decisions during inspections

  • Review whether staffing patterns remain appropriate over time

This is a key requirement under CQC’s Safe and Well-led domains.

The Home Shifts view brings together current staffing and historical insight in one place. This includes 3 charts:

  1. Shift Staff Allocation History Chart

  2. 24-Hour Staffing Timeline

  3. Current Staff Allocation by Unit

1. Shift Staff Allocation History Chart

What this chart shows

  • A line chart displaying month-by-month changes in total staffing levels for each shift

  • All staff grades are combined to give a clear, high-level view

  • Each line represents a shift (for example: early, late, night)

Use this chart to:

  • Identify gradual increases or reductions in staffing

  • Understand whether staffing has scaled alongside dependency

  • Spot inconsistencies between shifts

  • Support leadership discussions about workforce planning

2. 24-Hour Staffing Timeline

What this timeline shows

  • An hour-by-hour view of staff coverage across the entire home

  • Based on current daily staffing assignments

  • Periods of insufficient or no coverage are clearly highlighted

This view is particularly useful to:

  • Identify gaps during handovers

  • Review night-time and early-morning coverage

  • Ensure continuous staffing across a 24-hour period

  • Validate staffing assumptions made during rota planning

3. Current staff allocation by unit

  • Displays staffing allocations for each unit

  • Shown as stacked bar charts

  • Colour-coded by staff grade

This enables:

  • Quick assessment of skill mix by unit

  • Comparison between units

  • Identification of over- or under-resourced areas
