How to file a declaration (ADC filing)

Submitting a new declaration is a guided process that will take you through 4 steps:


1. Request filing number

1. After you have finished the Onboarding process for ADC filing, click on the Application switcher in the top right corner of the CargoX Platform.

2. From the available options, select Filings.

3. Then choose UAE.

4. Finally, select Abu Dhabi Customs Filing.

5. Click on the New button to begin a new filing process.

Warning

If you have not created a blockchain key yet, you will need to add it before creating the filing. More information about this step is available here. Please note that this is a one-time action. In the future, you will only need to use the blockchain key you have created during this process to confirm transactions.

6. Define your custom filing name, which will serve as an internal identifier.

7. Choose declaration type.

Note

If you choose the RE EXPORT MAQASA declaration type, you will also be asked to enter the Import job number.

8. Choose the Center code.

Note

If you are a clearing agent, you will also be asked to choose the company you are filing on behalf of.

9. Click on the Next button to finish requesting a filing number.

10. Wait for the filing number to be allocated. After that, you can continue on to the next step.


2. Upload documents and submit filing

1. Click the Upload new button and upload the file(s).

2. Choose the document type for each document on the right side from the drop-down menu.

3. Finish uploading all required documents as indicated by the green checkmarks.

Note

Please note that the required document type is CDD (Customs Declaration Details). Additionally, you may upload other documents such as BLC (Bill of Lading Copy), INV (Invoice), COO (Certificate of Origin), PL (Packing List), and OTH (Other).

4. Click the Submit filing button.

5. Click the Next button to prepare it for submission.

In the bottom right corner, you can see the price to submit the filing and also the documents attached.

6. Click on the Choose file button and upload your blockchain key file.

7. Type in your blockchain key password.

8. Click on the Prepare your blockchain key button.

9. Mark the checkbox and click Sign & Submit.

10. Wait for a response from ACD.

11. ADC first processes your declaration and informs you about an accepted submission via email:

a) If there are any other approvals from other Abu Dhabi authorities required, you will see pending approvals.

b) If your filing is rejected by any authority, you will see the reasons why your filing is rejected. You will be asked to Upload new (corrected) documents and follow steps 1–10.

c) Once all relevant authorities approve your filing, it will be pending for payment of customs charges. At that time, you may proceed to the next step.


3. Pay customs charges

After the filing was accepted by ADC, you can continue with the payment process.

Note

The only payment model is connected to the ADC Facility account. After the successful payment, the funds will be deducted from your facility account.

Go to section Payment of customs charges in the Filing entry. Available payment type is Facility (your ADC account). To continue, click on the Pay button to complete the payment.

Success

When the payment is successful, the filing is marked as completed. At that time, you may proceed to the next step.


4. Documents received

1. The filing is marked as completed and can be seen in the Completed filings filter.

2. Open the filing entry by clicking on it.

3. Under Received documentation, you can view and download the customs documents by clicking the Download all documents button.

Info

It can take up to a minute for all the documents to appear in your ADC filing. The page will autofill with new documents, and there is no need to refresh. After that, you will be able to download them.

4. You can also see the Audit log, where all the events of the filings are recorded chronologically.

Success

Your ADC filing is completed.
