How to complete a stock take prompt on Atlas eMAR

It is important to ensure that stock take prompts are monitored and actioned as soon as possible to that medication levels are correct to make sure the resident does not end up going without their medication. Stock takes are prompted because of two reasons, either the Atlas device has picked up an imbalance in the stock levels and the amount being given or you have manually added the item to the stock take screen as a result of noticing a discrepancy.

There are two types of stock on Atlas eMAR managed items, which are items that the Atlas system can calculate stock for and Manual items which can not be calculated therefore will be managed internally by the home.

To complete a stock take on the Atlas device follow this process;

1. log into Atlas eMAR. Once on the homepage, select the managed stock icon below the stock heading. At the top of this screen you will see three options; select stock take.

2. Select the resident you wish to complete the stock take for, then select the update on the item you wish to amend the stock for.

3. Add the quantity to the amount box and select a reason for change, either incorrect stock figure or routine stock take once completed select confirm.

4. Repeat steps 1 - 3 until all red stock take prompts are green.

5. Once all required stock takes have been completed the device should be synchronised.

Manual items should be completed and recorded internally. All items for the residents located on the device which cannot be calculated will display in white under the Manual section in the stock take screen. These should be reviewed on a regular basis as low stock warnings will not be prompted for these items.

  • It is recommended that a routine stock take is completed once a month before the monthly medication is booked in to ensure all stock figures are correct for the new cycle.
