Working Collaboratively with other Users

Updated over a year ago

Can other users within my local authority see my work?

Generally, no. By default, your work is private to you alone. What does this mean?

Essentially it means that any Dashboards, Projects, Scenarios, Consultations, and Data Stories you create are visible only to you and cannot be seen or edited by other users unless you grant them permissions to do so.

Can other local authorities access my instance?

Not unless an admin invites them. Users can have access to multiple local authority areas, but only if this is agreed with the administrators of the respective local authority instance.

Administrators can see and control who has access to their local authority instance via 'Manage Users'. If you want to, you can grant other local authority users access to your instance. This can be a helpful way of collaborating, sharing learnings and working together.

Once added, they will have the permissions of ordinary users from within your own organisation. Just like users within your own organisation, they will be unable to see your Scenarios, Projects, Consultations, or Data Stories unless granted specific access to do.

Can I share my work with other users?

Yes, absolutely! Almost everything you create can be shared with other users within your local authority instance. You can grant view only or edit permissions to others.

You can only invite other users to collaborate with you on Projects, Consultations and Scenarios. If you want to share information with non-users, please refer to Stakeholder Engagement. Currently data Dashboards cannot be shared with other users.

Sharing Projects:

Projects can be shared with other users in your instance by clicking on the three dots in the Project List view.

Sharing Consultations

Consultations can be shared with other users in your instance by clicking on the share symbol under 'Action' on the main Stakeholder Engagement page:

Sharing Scenarios

Scenarios can be shared with other users in your instance from the main Stakeholder Engagement page, under Manage>Share.

Sharing Data Stories

Data Stories can be shared with other users from the Data Stories icon on the home screen, using the share icon. This will open a pop-up where you can enter the email addresses of users you wish to share your data story with.

Once you've added an email address, you'll need to allocate the user specific permissions, from this drop-down menu:

Can Read: View only access to Data Story and their own responses.

Can Edit: Can edit data story and view their own responses.

Can view responses: View only access to Data Story and all responses.

Can I share with my Network Operator?

Sharing insights about your plans with your Network Operator is a valuable step in decarbonisation planning as it allows network operators to plan ahead and ensure the grid has sufficient capacity to support local ambitions.

Projects:

If you have a Project you plan to take forward, let your network operator(s) know by sharing it with them. You can do this easily within your project once you have run the assessment via the share tab and submitting the project assessment form.

Scenarios:

If you think that this is a likely scenario for your decarbonisations plans, then you can easily share this with your Network Operator(s) once you have run the scenario.
