This article provides guidance on how to correctly select the apprenticeship standard and version when creating a new apprentice in ACE360. Following these steps will help ensure accurate setup and avoid delays or errors in the registration process.

Step 1: Select the Standard and Version
Begin by selecting the appropriate apprenticeship standard and version from the dropdown list.
Ensure the selected standard, version and pathway align with the learner’s ILR.
Only valid and available options will be displayed for selection.
Step 2: Confirm the Start Date
After selecting the standard and version, enter the apprentice’s planned start date.
If the start date field appears greyed out, this indicates that the selected standard and version are not valid for that date.
If this occurs, you should:
Select an alternative standard/version that is valid for the intended start date, or
Contact a Super Admin to request the required standard/version if it is not available in the dropdown list.

In this example, the selected standard version has defined validity dates (shown on the left), and the calendar highlights which start dates are available.
Dates that are greyed out cannot be selected, as they fall outside the valid range for the chosen standard and version.
Step 3: Select the Awarding Organisation (AO)
Choose the appropriate Awarding Organisation for the apprentice.
If EAL is not available for selection, this means the selected standard and/or version is not currently set up on their account.
In this case, you should contact the Awarding Organisation directly to confirm availability or request further support.
Step 4: Complete Remaining Fields
Once the standard, version, start date, and Awarding Organisation have been correctly selected, proceed to complete the remaining fields as normal.
Key Reminders
Always ensure the standard, version and pathway match the learner’s ILR.
A learner must be registered on the version that was live at their start date.
Learners can move to a newer version, but not to an older version.
Selecting an incorrect version can lead to Gateway delays, rework, or compliance risks.
Always review ILR details before creating the learner record in ACE360.
