How to Add a New Apprentice Record in ACE360

Adding a new apprentice record in ACE360 is the first step to getting your learners set up and ready for their End Point Assessment journey. Accurate setup from the start ensures smooth progress tracking, compliance, and assessment scheduling. Follow the steps below to quickly and correctly add an apprentice to the system.

Before you begin, make sure your organisation has enough tokens (each new apprentice uses one). If you're out, purchase more under Token Management within ACE

From your dashboard, go to Apprentice Records using the sidebar menu. Click the prominent green Add Apprentice Record button to open the entry form

  • In the form, enter all required fields:

    • Personal details: Full name, date of birth, contact information

    • Start date, cohort details, chosen standard and pathway

    • Employer and EPAO information

Double-check accuracy - especially dates, version, pathway and spelling

After filling in the form, click Save or Create. ACE360 will validate the input; any errors will be flagged for correction. Once saved, the new apprentice appears under Apprentice Records with a “Live” status
