Cancel

With the "Cancel" function, you can cancel a valid and ended procurement notice, as well as when a notice is being corrected or is in the "waiting for publication in Hilma" folder.

In order to ensure that a cancellation is clearly visible to bidders in other systems as well, Hilma currently recommends taking the following measures before cancelling, provided the contracting authority is cancelling the entire procurement:

  • Before a user cancels a valid procurement notice, a corrigendum notice should be created, especially in situations where a significant amount of time remains before the deadline for submitting tenders or requests to participate. Make sure that the corrigendum notice is published before the original notice's deadline for tenders or requests to participate expires.

    • If there is sufficient time to publish a corrigendum notice, proceed as follows:

      • Modify the title of the notice in the corrigendum notice. Add "CANCELLED" in front of the notice's name.

      • Only after creating the corrigendum notice should you proceed to cancel the procurement and create a contract award / cancellation notice. Add "CANCELLATION NOTICE" in front of the contract award notice's name when the entire procurement is being cancelled.

Press “Cancel” to cancel notice.

Cancelling a national procurement

  • Cancel

  • Enter an “explanation” for cancelling the procurement.

  • Click “Cancel the notice”

    • A cancellation notice will be sent to HILMA

    • The procurement cancellation message will be automatically sent to everybody who has reviewed the notice.

    • The tendering process will be transferred to the “Cancelled” folder

OBS! If national procurement notice`s deadline have ended, cancelling should be done with contract award.

Cancelling an EU procurement

  • Cancel

    • Enter an “explanation” for cancelling the procurement.

  • Click “Cancel and switch to the follow-up notice creation mode”

    • The system will open an empty EU follow-up notice

    • Enter the follow-up notice and publish it on HILMA

  • The procurement cancellation message will be sent to everybody who has reviewed this notice

  • The tendering process will be transferred to the “Cancelled” folder

Cancelling a sub-area


The cancel function can only be used to cancel an entire procurement.


If only one or more sub-areas are to be cancelled, Editing -> Edit the notice information function can be used to edit the data of the sub-area in question, if necessary, in such a way that it indicates to the tenderer that the sub-area has been cancelled.

Please note that you should make a contract award notice about the cancellation if necessary.
