When your company changes its name, address, bank, or value-added tax identification number (VAT no.), there are several places in tracezilla where this information needs to be updated. Here you will find a complete overview of how to update your information so that it appears correctly on documents (e.g., invoices), EDI files, and similar.
đĄ Tip: If you have the B2B Commerce or Power Pack add-on modules, there may be additional places where the name needs to be adjusted. You might also have set up an auto-signature in Translations.

1. General company information (Name, logo, and VAT number)

A large part of the information displayed on your PDF documents and used for EDI is retrieved from Partner no. 1. This partner represents your own company and is marked as My profile.
Go to Partners in the top menu.
Click on the column header Number to sort the list so partner no. 1 is at the top (or use the search filters on the left).
Click on My profile.
Use the Edit buttons to update your information and address. Here you can also Update logo.

Bank details on PDF invoices
If you have new bank details, they must be updated here to be displayed on your invoices:
Click on your company name in the top right corner.
Select Company Settings.
Click on General settings under the Documents and templates section.
Go to the Bank details tab.
Enter the bank name, registration number, account number, and, if applicable, IBAN and SWIFT/BIC.
Click Save.
Payment methods (used for EDI, etc.)
Click on your company name in the top right corner.
Select Company Settings.
Go to Payment methods.
Click the blue-grey button with the three dots and arrow next to the method, and select Edit.
Update the information and click Save.
Bank and FI codes (Payment slip / Indbetalingskort)
If your FI creditor number and/or OCR code changes, it must be updated so that customers do not make payments to an incorrect or closed account:
Click on your company name in the top right corner.
Select Company Settings.
Go to Translations.
Correct or remove the code under the text string

Please also remember to check and update payment details in any EDI integrations (e.g., EDI Solutions).

â ď¸ Important: All integrated systems (e.g., your accounting system) should change their name at the same time before you resume business operations. Avoid creating and posting invoices while the update is in progress.
Check your integrations
Go to Company Settings > Integrations.
Review the list under Enabled integrations.
Also check the Disabled integrations section to see if there are systems planned for later activation that will require new integration keys.
Accounting system: Remember to update the information in your accounting system at the same time. If you have received a brand new tracezilla account or a new accounting account, the systems must be reconnected.
API tokens (API keys)
Click on your company name in the top right corner > My Account > API keys.
Check both the Personal Access Tokens tab and the Resource Owner Password Credentials tab.
If an external company helped set up your API integrations, you should contact them to ask if the keys need to be regenerated.

If you have changed your email address and domain, and your previous domain is connected to tracezilla (so you send from your own domain instead of noreply@tracezilla.com), it must be reconnected:
Click on your company name in the top right corner > Connect E-mail domain.
Click Remove connection (next to the old domain).
Enter the new domain name (e.g.,
company.comif your email isinfo@company.com).Click Connect.

If your email addresses have changed following a domain swap, this can be resolved in two ways:
Solution 1: Users update their own profile
Each individual user must log in and follow these steps:
Click on your company name in the top right corner > My Account.
Edit the field Your email address under the Contact information menu item in the left menu.
Solution 2: Account owner reinvites users
An account owner can remove the old users and create them anew:
Remove users: Go to Company Settings > Users. Click on the three dots next to the user and select Remove from organization.
Add new users: Click Invite user, enter the new email address, select the role, and send the invitation.
The Owner user: The owner of the account cannot delete themselves, but must update their email address manually under My Account > Your email address (Contact information).

Information on your invoices issued by tracezilla
If your company has a new name, VAT number, and/or new address, you should update your billing information. This information will appear on the automatically generated invoices you receive each month for your tracezilla subscription.
Click on your company name in the top right corner.
Select Company Settings.
Click on Billing information.
Update the relevant details in the dialog box.
Click Save.
Invoicing via credit card
If you have received a new payment card, your card details must be updated:
Click on your company name in the top right corner.
Select Company Settings.
Click on Payment. You will then be redirected to Stripe.
Click + Add payment method and enter the new card details.
Set the new card as the preferred (default) payment method.
Click the X next to the old payment card to delete it.
Here you can also check your next payment date next to the text "Your next billing date is [Date]."
If you can see that you have already been billed with the incorrect payment details on your latest invoice, please contact tracezilla via email at support@tracezilla.com.
âď¸ Contact Support: Send an email to support@tracezilla.com with your new company name, VAT number, address, and the email address where your future tracezilla invoices should be sent. We will then make sure that the information is also updated correctly in our end.
