When you start using tracezilla, you can import your existing inventory to the application via the Excel import template. This saves you from creating purchase orders for every lot in the warehouse in the application.

Import lots

Click Warehouse in the top menu and select Lots in the drop-down menu.
Click the button Import in the upper right corner and then Get Import Template.
The application will now generate an Excel document that you can choose to open or save.
Fill in the column cf. the explanation in the table below. You must have one lot per row. Fields marked with a star (*) are mandatory. Other fields can be left empty or filled in for lots that are relevant.
When all relevant columns are filled correctly, save the Excel document on your computer and import it to tracezilla like this: Go to your lots by clicking Warehouse in the topmenu and select Lots in the drop-down menu. Click the button Import and then Upload file.
Your lots will now appear in tracezilla. If there are any problems with the setup of the Excel document, the application will let you know what the problem is and in which row and column. When you have made the corrections, try to import again.

Guide for import template

To the left in the below, you have the headers of the Excel sheet. The right column provides explanations for each header.

Column header	Explanation
SKU code*	Enter SKU code.
Supplier, Partner*	Must be: Partner. Write the name of the supplier who delivered the lot. You need to create the partner in the application before you write the name of the partner in the import template. Make sure that the partner name is spelled correctly and exactly as in the application.
Located at, Partner(*)	Must be: Partner. Write the name of the partner the lot is located at. It could be your own profile. You need to create the partner in the application before you write the name of the partner in the import template. Make sure that the partner name is spelled correctly and exactly as in the application.
Located at, Location(*)	Must be: Partner location. Write the name of the partner location the lot is located at. It is necessary to fill in this information if the partner has more than one location in the application. Make sure that the partner location is spelled correctly and exactly as in the application.
Quantity*	Must be an integer. Write the number of lot units for the lot.
Unit(*)	Can be: Colli/pcs/kg/l/m2 etc. The lot unit is the unit used to take stock of the lot. The most common lot units are colli, kg or pcs. You can view how you have setup your measuring units for the SKU. If you have set up your SKU with the measuring units colli and pcs, fill in the field with colli.
Parcel quantity(*)	Must be an integer. Indicate the quantity of units per lot unit. The unit of measure is the unit the SKU is measured in across lots, i.e. independent of how it is packed. The most common unit of measure is kg, litre or pcs. If the relationship between UoMs and lot units is locked, you do not need to fill in the information in this import template.
Availability Date*	Must be the date format for Excel e.g. DD-MM-YYYY. This should be the date the lot arrived to the warehouse location.
Line Text	Can be: Text and numbers. You can add a text to the lot if relevant.
Initial cost price per UoM	Can be: a number. Enter the costs associated with the lot per unit of measure i.e. costs apparent from the invoice. The unit of measure can be kg, litre, pcs. Go to Warehouse > Stock Keeping Units to see the unit of measure. If you have created the SKU with the measuring units colli and pcs, then indicate the price per pcs.
Origin, Country	Must be: Country. Type in the country of origin. If you are in doubt about the spelling, you can look at the drop-down menu in the application under a partner.
Lot Number	Can be: numbers and text. Type in the lot-number. You can read more about lot-number in the dictionary.
Batch Number	Can be: numbers and text. Enter the batch number of the lot. You can read more about batch-number in the dictionary.
Date, Use by	Must be the date format for Excel e.g. DD-MM-YYYY. Type in the date of expiration. You can choose to fill in the field Date, Best before instead. One of the fields need to be filled-in.
Date, Manufacturing	Must be the date format for Excel e.g. DD-MM-YYYY. Type in the date of production for the lot.
Date, Best before	Must be the date format for Excel e.g. DD-MM-YYYY. Type in the recommended last consumption date. You can choose to fill in the field Date, Use by instead. One of the fields need to be filled-in.
Attributes
Catch Method	Can be: text and numbers. You can indicate a catch method here e.g. trawl.
Customs Status	Can be: text and numbers. You can indicate a costums status here.
EU Tariff Code	Can be: numbers and text. You can indicate a EU Tariff code for the SKU.
EWC code	Can be: numbers and text. You can indicate a code from the European Waste Classification. Type in the code in the format 0X-XX-XX
FAO Catch Zone	Can be: text and numbers. You can type in the fishing area applying to the lot.
Origin	Can be: text and numbers. You can type in the origin applying for the lot.
Farmer/Grower	Can be: text and numbers. You can type in information about the farmer or grower here e.g. name, address, number etc.
Breeder	Can be: text and numbers. You can indicate the breeder of the lot.
Packaging	Can be: text and numbers. You can indicate the type of packaging the lot have e.g. 20 bags.
Quality	Can be: text and numbers. You can indicate the quality of the lot e.g. 1, 2, 3…
Size	Can be: text and numbers. You can indicate the size of the lot e.g. 5x7 inches.
Specification	Can be: text and numbers. You can specify something about the lot.
Storage Bin	Can be: text and numbers. If you have enabled Storage Bin, you can indicate a storage area for the lot.
Traceability
Trace 1, Label	Can be: text and numbers. You can define a trace for the lot to make sure the lot is traceable from the supplier. The trace can be pallet number, container number, serial number etc. It is possible to add up to 8 traces.
Trace 1, Key	Can be: text and numbers. Enter the pallet number, container number, serial number etc. If you type in a container number here, you must have typed in the ‘Container number’ in the column Trace, label.
