Deactivating a user individually

Via the Administration Centre

Deactivating a user will remove their access to your account and will free up their license for another user, but their data will not be deleted.

To deactivate a user, click on the Administration Centre and then select the People tab.

Click on the 'Filter' button, add their name to the 'Specific employee' field and click 'Show results'.

Click 'Edit' and then click the blue 'Deactivate this user' button.

Via the user's profile

Alternatively, you can deactivate a user directly from their profile. Start by searching for the user you would like to deactivate.

Click on the cog icon and then click the yellow 'Deactivate this user' button.

Note: You will not be able to deactivate a user who is still set up as a default supervisor for another user. You will need to update the reporting lines before you can deactivate a departing supervisor.

Deactivating users in bulk

To deactivate users in bulk, click on the Administration Centre and then select the People tab.

Click on the 'Filter' button to narrow down your users, if needed.

Click 'Bulk actions' and then 'Edit in bulk'.

Unlock the 'Active' field by selecting the checkbox next to it. Untick the box to the right of 'Active'. Click 'Save changes' and you'll be asked to confirm how many users you're editing.

Finding deactivated users and their data

Click on the 'Filter' button in any report and change the 'Status' field to 'Deactivated' or 'All'.

Add their name to the 'Specific employee' field and click 'Show results'.
