What does the Qonto receipt integration do?
The Qonto integration is our way of making your document uploads to smarta easier: instead of uploading invoices manually, smarta pulls them automatically from your Qonto account.

Important:
Only client and supplier invoices that are marked as paid or linked to a transaction in Qonto are synced
Bank transactions and account data are not transferred
Additional data such as notes, categories, or tags are not transferred
👉 This integration is purely a document sync.
Note: If an invoice is not assigned to either supplier invoices or client invoices in Qonto, and not marked as paid, it will not be synced.
How does matching work?
For a document to sync from Qonto to smarta, it must be assigned to a client or supplier invoice in Qonto and marked as paid.
In most cases, Qonto does this automatically – for example for invoices you pay directly through Qonto. In some cases, however, this doesn't happen automatically and needs to be done manually.
Important: If you've sent a client invoice through Qonto but the client hasn't paid yet, this document will not be pulled by us – only once the payment has come in and the invoice is marked as paid.
How do I know if a document will be assigned in smarta?
The quickest way is to check directly on the transaction in Qonto when you open the document:
If you see the button "Open in supplier invoices" (In Lieferantenrechnungen öffnen) → the document is already assigned ✅ and will be synced.
If you instead see "Save to supplier invoices" → the document is not yet assigned ❌ and will currently not be synced. In this case, please assign it manually in smarta.
You can also go directly to Supplier invoices or Client invoices in Qonto to see which documents are already listed there.
Once imported, smarta processes your documents
After import, all processing happens within smarta:
smarta automatically matches receipts to your bank transactions
Matching does not happen in Qonto, only in smarta
Automatic matching is only possible if:
the receipt has been imported from Qonto, and
the corresponding bank transaction already exists in smarta
sufficient document data is available (e.g. from a correctly recognized supplier or client invoice)
Good to know: Even if a receipt is not immediately matched to a transaction, it is not lost.
The receipt is still successfully imported into smarta
If automatic matching is not possible, it is placed in an internal review queue
Our team reviews these cases and assigns receipts manually if needed
Note: Synchronization runs once per day and may take 1–2 days.
Setting up the Qonto receipt integration
Follow these steps to connect your account:
Log in to your smarta account
Open your Profile settings
Go to Accounting connections
Select Qonto and click “Connect”
Log in to your Qonto account and authorize the connection
Once connected successfully, the status will show as “Active”.
Grant accountant access (recommended)
To help us support you with the integration, we recommend granting us accountant access, if your Qonto plan allows it.

What time period are my receipts and invoices imported for?

We import—where possible—all receipts and invoices starting from the last open tax year.
A tax year is considered “open” if:
we have been commissioned to prepare your tax returns, and
the tax returns for that year have not yet been completed
Receipts from these periods are automatically included and imported into our system.

Only documents that are assigned to a client or supplier invoice in Qonto and marked as paid are synced. An invoice you've sent through Qonto that hasn't been paid yet will not be transferred. Bank transactions, notes, or additional data such as tags are also not transferred.

Receipts are synchronized automatically once per day.
If you add or update a receipt today, it will usually appear in your smarta profile the next day. New and updated receipts are automatically detected, imported, and—if possible—matched to the corresponding transaction. If automatic matching is not possible, our team will review the receipt manually. In some cases, this may cause slight delays.

This can have several reasons and is usually completely normal.
1. Timing delay
Synchronization happens once per day, so it may take 1–2 days for a receipt to appear in smarta.
2. No matching transaction yet
Automatic matching only works if the corresponding bank transaction is already available in smarta.
3. Automatic matching not possible
In this case:
The receipt has still been successfully imported
It is available in smarta
It just hasn’t been matched to a transaction yet
👉 These receipts are placed in an internal review queue, where our team checks and assigns them manually if needed.
Important:
In most cases, you don’t need to take any action—we’ll take care of it.
