Set up Qonto receipt integration

Connect your Qonto account to your smarta profile so smarta can automatically pull your documents from Qonto – and you don't have to upload them manually anymore.

What does the Qonto receipt integration do?

The Qonto integration is designed to simplify your receipt uploads in smarta: instead of uploading invoices manually, smarta automatically pulls them from your Qonto account.

Important:

  • Supplier and customer invoices are synchronized if they are marked as paid in Qonto or linked to a transaction

  • No bank or account transactions are imported

  • No additional data such as notes, categories, or tags is transferred

  • Receipts that are not assigned to supplier or customer invoices are not synchronized

👉 The integration is a pure receipt interface.


Setting up the Qonto integration

How to connect your account:

  • Log in to your smarta account

  • Open your profile settings

  • Go to “Accounting connections”

  • Select Qonto and click “Connect”

  • Log in to Qonto and confirm the connection

Once successfully connected, the status will show as “active.”


Set up accountant access (recommended)

To support you as efficiently as possible with any integration-related questions, we recommend setting up accountant access for us—if your Qonto plan allows it.

Why is this useful?

With accountant access, we can:

  • Check your integration more quickly

  • Trace errors directly

  • Support you more efficiently

  • Incorporate your feedback directly into further development of the integration 🙌

How to set it up:

In Qonto:

  • Open your account settings

  • Go to “Team / User management”

  • Invite a new user using this email: qonto@smarta-steuern.de

  • Select the role “Accountant”


What happens after receipts are imported?

  • smarta automatically assigns receipts to your bank transactions

  • The assignment happens only in smarta, not in Qonto

  • Automatic matching is only possible if:

    • the receipt was imported via the Qonto integration

    • the corresponding bank transaction already exists in smarta

    • sufficient receipt data is available (e.g. correctly recognized supplier/customer invoice)

Important: Even if a receipt cannot be assigned automatically, it is not lost.

  • The receipt is still imported into smarta

  • If automatic assignment is not possible, it is placed in a review queue

  • Our team reviews these cases and assigns receipts manually if needed

Note: Synchronization runs daily and may have a delay of 1–2 days.


Frequently asked questions

Which receipts are imported?

Only receipts that are assigned to a supplier or customer invoice in Qonto and marked as paid are synchronized.

Qonto usually assigns invoices automatically—for example, when you pay invoices directly via Qonto or when it detects an expense. In some cases, however, this does not happen automatically and must be done manually.

Customer invoices sent via Qonto but not yet paid are not synchronized. Bank transactions, notes, and additional information such as tags are also not transferred.


How can I manually assign a receipt in Qonto?

To ensure your receipt is synchronized with smarta, you can manually assign it to a supplier or customer invoice in Qonto—especially if automatic recognition does not work.

There are two main ways:

1. Direct upload (recommended)

Upload receipts directly in the “Supplier invoices” or “Customer invoices” sections.

👉 Advantage: The receipt is immediately assigned correctly and will be reliably synchronized.

Note: Invoices created via Qonto are always automatically assigned to customer invoices and synchronized with smarta once paid.

2. Upload via a transaction

If you attach a receipt to a transaction:

  • Open the transaction

  • Upload the receipt

👉 Important: In some cases, an additional step is required:

  • Open the preview (via the folder icon)

  • Click “Save to supplier invoices” or “Save to customer invoices”

In the mobile app:

  • Open the transaction

  • Upload the receipt

  • Tap the three dots (⋯)

  • Select “Save to supplier invoices” or “Save to customer invoices”

Only then is the receipt correctly assigned and synchronized.


How can I tell if my receipt is assigned in Qonto?

The quickest way is directly in the transaction view:

  • If you see “Open in supplier invoices” → the receipt is already assigned ✅ and will be synchronized

  • If you see “Save to supplier invoices” → the receipt is not yet assigned ❌ and will not be synchronized

You can also check the “Supplier invoices” or “Customer invoices” sections in Qonto.


For what period are receipts imported?

If possible, we import all receipts starting from the last open tax year.

An open tax year is any year:

  • for which we are engaged to prepare tax returns, and

  • for which the tax returns have not yet been completed

Receipts from these periods are automatically included and imported into our system.


How often are receipts synchronized?

Receipts are synchronized automatically once per day.

If you add or update a receipt today, it will usually appear in your smarta profile the next day. New and updated receipts are detected, imported, and—if possible—automatically matched to transactions.

If automatic matching is not possible, our team reviews the receipt manually, which may cause slight delays in some cases.


Why don’t I see my receipt immediately?

There are several possible reasons, and in most cases this is completely normal:

1. Timing delay
Synchronization runs once daily, so it may take 1–2 days.

2. No matching transaction yet
Automatic matching only works if the corresponding bank transaction already exists in smarta.

3. No automatic assignment possible

In this case:

  • The receipt has still been successfully imported

  • It is available in smarta

  • It just hasn’t been assigned automatically yet

👉 These receipts are placed in a review queue and will be manually assigned by our team if needed.

Important:
In most cases, you don’t need to do anything—we’ll take care of it.
