Defining your company structure
If you are part of the Company structure BETA, or created your Plan A account after June 25th 2025, defining your 'Company structure' will be the critical first step in your sustainability journey. Data should not be uploaded until you add entities to assign your emissions data to.
Setting up your company structure means mapping how your emissions will appear across dashboards and reports, helping you get the most insights. For example, if you have several offices with separate energy bills, assigning all those bills to a single parent company would limit your individual office insights and ability to report per office. Instead, creating an entity for each office allows you to assign emissions accurately and simplifies reporting and analysing office emissions later.
Taking the time to define your structure will make data uploads smoother and ensure you can report your emissions clearly and effectively as you move forward. Once data is uploaded, adjusting your Company structure becomes more complicated with restrictions in place for entities with live data attached. This is why it is highly recommended to take the time to plan and finalise your company structure before calculating any emissions.
What are entities?
Entities represent structural components of your organisation, such as offices, factories, stores, or other distinct units. They reflect the physical or operational divisions within your company.
Most companies mirror their company structure to their organisational boundaries, helping them structure and report emissions according to the parts of their company within their control. Think about what parts of your business you would like to see emission breakdowns of and plan from there.
Your Company structure will always start with your Company name as your Level 1 entity. From there, you can build and add new entities across multiple levels.
What are entity levels?
An entity level represents a layer in your organisation’s structure.
You should create your entity levels in the hierarchy that matches your organisation — for example:
Level 1: Head Office or entire company
Level 2: Regional division or country branch
Level 3: Local sites like individual stores or facilities
This layered structure lets you see and manage your emissions data in different levels of detail — from company-wide totals down to specific sites.
Selecting entities during upload
When uploading data, you’ll find all entities in your company structure listed in the “Entity” dropdown. Simply select the most relevant entity for the data you’re entering.
The system will automatically attribute the data to the correct parent entities, you don’t need to select multiple levels.
Example:
If you upload data for a level 2 entity, the system will automatically associate this data with that entity and the level 1 parent entity.
If no entities are applicable for a dataset, you can choose to assign the data directly to your Level 1 entity. In this case, the emissions will not be attributed to the lower-level entities but only to the top parent level 1 entity.
What are the differences between entities and tags?
Entities are part of your Company structure. They represent the formal organisational units in your business — for example, subsidiaries, branches, or departments. They help you organise emissions data in line with your legal or reporting structure.
Tags are flexible, custom labels you can add during data collection to create additional breakdowns. They aren’t tied to your organisation’s structure — instead, they help you filter and analyse data in ways that matter to you, such as by project, event, client, or trip purpose.
Can I delete an entity?
Entities can only be deleted or renamed if no emissions data is associated with them.
If you want to delete or rename an entity that has emissions data, you’ll first need to delete any uploaded data linked to that entity. Once the data is removed, you’ll be able to delete or rename it.
If an entity has closed down, you don’t need to delete it — you can mark it as closed instead. To do this, click ‘Edit entity’ in the Company Structure and select ‘Close entity’.
