What is OurMind Assistant?

OurMind Assistant is the chat assistant within OurMind, designed for healthcare professionals. You use the Assistant to answer questions in a secure environment for healthcare organizations. The Assistant is not intended to provide medical advice, make diagnoses, or determine treatments. In addition, OurMind Assistant offers the possibility to create your own Custom Assistants. These can specifically consult your guidelines or documents and automate repetitive administrative tasks.


Getting started!

  1. Open OurMind Assistant

    Log in to OurMind and select OurMind Assistant in the left sidebar on the homepage.

  2. Start directly with a new conversation

    Describe your task or question in natural language in the text bar. Some examples:

    • Create a referral letter template from a general practitioner to a physiotherapist

    • Make a to-do list for an MDT preparation

    • Summarize the regional collaboration protocol in a maximum of 5 bullet points

    Tip: It is also possible to speak your task or question by clicking the microphone icon to the left of the arrow.

  3. Execute and improve

    Check the output, give follow-up commands (‘shorter’, ‘show as checklist’, ‘convert to an email’) and repeat until the result is right.

    Remember that OurMind Assistant is not intended for medical advice.

  4. Add context (safely)

    Paste relevant text or upload context via the paperclip button on the left below the text bar. Use the Assistant primarily for administrative tasks and follow your organization’s policy. Files you add are accessed securely.

  5. Use the output

    Share or export the output in your own way. In the left sidebar of the start screen, all your chats appear; you can retrieve them and continue the conversation. You can delete chats manually; chats are also automatically deleted after 72 hours.


More optional possibilities in OurMind Assistant

  1. The best models in one place

    Select at the top of the screen the AI model that fits your task. Available models include Azure OpenAI and Vertex AI Gemini (such as GPT-4o/4.1 and Gemini 2.5-pro/flash).

  2. Build Custom Assistants

    Create multiple Custom Assistants. In the article How do I use Custom Assistants you can learn how to create your own assistants.

  3. Save and reuse your favorite prompts

    Save frequently used prompts as templates and reuse them with one click. Saved prompts remain stored until you adjust or delete them.

  4. Let the assistant get to know you better with memory

    When Memory is enabled, OurMind Assistant can remember personal preferences and context (for example tone of voice, standard format). This data remains available as long as memory is active. You can disable it at any time and delete existing memories.

Note: Prompts and memories are separate from the 72-hour chat retention. Do not place patient-identifiable data in prompts or memories; use placeholders where necessary.


Data and privacy

  • EU processing and data sovereignty: all processing takes place within EU data centers (Azure in Sweden; Google Cloud in NL/FR) via private endpoints (no public internet path).

  • No model training on user data: prompts and context are not used to train AI models.

  • Duration: chats are active for a maximum of 72 hours for follow-up actions and are then automatically deleted; you can also delete them manually.

  • Anonymization: strict processes ensure that data is not traceable.

  • Certifications: ISO 27001 and NEN 7510, with annual audits and continuous monitoring.
