What is the reference field on my gifts?

A team admin setting that adds a mandatory label field, like "Employee name" or "Cost centre", to every gift you send.

The reference field lets your team add a mandatory label to every gift you send, like "Employee name" or "Cost centre". You choose the name. Once it's on, nobody on your team can send a gift without filling it in.


💡 Why it matters

Before this, the only place to leave a note on a gift was the optional Notes field, and it didn't appear on your orders report. If your team shares gift links over Slack or email, there was no way to check afterwards who each one went to.

The reference field fixes that. It's mandatory once switched on, and the value you enter shows up in your orders report under the label you chose, so you can match gifts back to who they were for.


📊 How it works

You choose the field's name when you set it up, for example "Employee name" or "Cost centre". Once it's on, your team can't send a gift without filling it in, whether they're sending one at a time, uploading a bulk CSV, or sharing a link.

This is different from reason codes, which give your team a dropdown of preset options to choose from. The reference field is free text, so your team can type anything that fits the label.


📋 Setting it up

The reference field is off by default, so nothing changes until you turn it on. Only Admins can do this. To set it up:

  1. Go to the Teams tab, in the left-hand menu of your dashboard.

  2. Find the reference field setting and turn it on.

  3. Name the field whatever fits your team, for example "Employee name" or "Cost centre".

It applies to new gifts only. Anything sent before you turned it on isn't affected.
