What this is about
Your offer PDFs consist of standard pages that Eturnity maintains for all customers, plus what you define yourself: colours, logo, pages of your own, and which pages appear in an offer in which order. You can set up most of this yourself in a few minutes. Anything beyond that, Eturnity adapts for you, partly free of charge and partly for a fee.
Our recommendation: stay with the standard wherever possible. Eturnity keeps developing the standard pages at no extra cost to you. A customised page, on the other hand, has to be updated whenever the standard changes, and that costs money again.
What you set up yourself
Only users with administrator rights can see the settings for your PDFs.
How to find them: In the header, open the app launcher on the far left > Settings > in the left side menu, the Offer section. It contains three pages:
Branding: Under Document colors you define the colours of your documents, and under Logo on PDF you upload your logo. The new document design adds a Cover image.
Custom pages: Here you turn a PDF file of your own into a page that you add to your offers, for example your terms and conditions.
Document templates: Here you define which standard pages an offer contains, and in which order; pages of your own can only be added there in templates with the previous design. Leave out any pages you do not need.
For an individual offer, you adjust the selection in the project: open the project > in the left side menu, the Offer group > Offers. There you choose the template, change the order of the pages, add datasheets and choose the branding.
Adding your own terms and conditions
The standard terms and conditions page is only a template. It states itself that your company is responsible for writing the legal notices for end customers, and in the new document design it contains a sample company and filler text. Replace it with your own terms and conditions before you send offers.
The quickest way is to add your terms and conditions yourself as a page of your own. You can then change them yourself at any time later on.
Save your terms and conditions as a PDF file. It may be at most 70 MB.
In the settings, in the Offer section, open the Custom pages page and click Add page.
In the Create new custom page window, enter a Page name, choose the Language of your terms and conditions and, under Technologies, tick all technologies you send offers for. The page will later only be available in projects in which one of these technologies is active.
Upload your PDF file and click Add page.
In the settings, in the Offer section, open the Document templates page and open your template using the edit icon.
Under Document configuration, remove the standard terms and conditions page using the bin icon. If the template has a Language field, it uses the previous design: add your new page via Add page, drag it to the desired position and click Save. If the field is missing, the template uses the new design, and pages of your own are not available there. In that case, click Save and add your page in the project: on the Offers page under Page order with Add page.
Repeat steps 5 and 6 for every other template. If you send offers in several languages, create a separate page for each language.
When your terms and conditions change: An uploaded PDF file cannot be replaced. Create the new version as a new page, add it to your document templates (with the new design: to your offers, in place of the old page) and then delete the old page. When you delete it, Eturnity automatically removes it from all document templates, but not from offers that already contain it; offers that have already been generated stay unchanged.
Alternatively, Support can replace the text of the standard page in the Eturnity design with your terms and conditions. This is a text change as described in the next section, and you will need to ask Support again for every later change.
What Eturnity adapts for you
Free of charge in the first 30 days
In the first 30 days after your account is activated, counted from the moment you start using Eturnity, these adaptations are included in the setup fee:
Text changes on existing pages, as long as they do not change the layout or structure of the page. This also applies to your terms and conditions on the standard page, even if they then need two pages.
Small adjustments such as a different font or a different background image in the Solar calculator.
After the 30 days, these adaptations are chargeable too.
Chargeable
Premium Customization: Eturnity implements new pages and changes to layout or design as a Premium Customization. It is billed according to effort and includes project coordination, technical implementation by a developer, testing and a one-time follow-up. Later changes are not included.
Additional language: Eturnity activates another language for the user interface and the PDFs. Only the standard pages are included.
Support tells you the price before anything is implemented.
Why the standard pays off
If Eturnity changes the layout or a fixed text of a page for you, even free of charge, that page usually becomes a separate version for your company. Your offers then always use this version, and corrections or improvements to the standard page no longer reach it. This does not apply to the text fields you edit yourself in the PDF preview, such as the remarks below the costs: Eturnity changes their default without copying the page.
If your customised page is later meant to follow a change to the standard, that is another chargeable adaptation.
If you later activate another language, only the standard pages are included. Customised pages do not come along automatically.
Pages that you upload yourself under Custom pages do not cause such costs: you replace them yourself at any time.
