Quick Workflows have an Advanced Automation option on the Automation tab. This option allows a Quick Workflow to execute a User Report and feed its result into an import.
To use the feature, populate the fields as follows:
Process: Select 'Advanced Automation'
User Report: Select the User Report from the drop down list. For more details about this list of filtered user reports see how to create a user report for importing.
Import: Select the import
Parameters User Import: This field only appears if the selected import uses parameters. The list of user reports is not filtered so select the User Report with the parameter values by entering 3 or more characters. Select the report by entering 3 or more characters. Tip: include "Parameters" in the User Report Name to find the report more easily.
Only Import First Row of Data from User Report (TOP 1): As a convenience, there is a checkbox setting to import only the first row of data from the report.
Sometimes it is difficult to filter a user report down to the exact one row of data that is desired, but it is much easier to return multiple rows and then sort that one row of data to the top of the report. In these cases, the simpler user report can be used, and when checked, this setting tells the system to only import the top row returned by the user report. When unchecked, all records from the user report up to the system preference or override maximum to be processed in the import based on the import order specified in the user report.
Max Rows to Process Override: This feature is included to help protect against mistakes. It is only available if the Only Import First Row of Data from User Report (TOP 1) feature is not being used. This setting tells the system to error (not execute the import) if too many rows are returned by the user report. The system preference for this field is set at 1000.
For example, if the user expects the user report, and thus the import, to never have more than three rows they can set this value to 3. If the user report ever returns more than 3 rows, the quick workflow will error.
