When an employee submits the Remote Work Request Form, the Remote Work Approval Routing will automatically commence and begin routing approval.
Remote Work Approval Rulesets
The internal user can create a company-level Remote Work Approval Ruleset to configure the rules for approval routing for the Remote Work request forms that are submitted by Employees. Creating Approval Rulesets for Remote work requests follows the same process as adding Approval Rulesets.
After clicking the
to add a new Approval ruleset, select 'Remote Work' as the type.
When adding rules, the following configuration is limited to a 'Remote Work' Approval ruleset type:
The 'Final Approval' field is set to 'All required approvals received (automatic)' and cannot be changed
For the 'Person By Role', the only available options are HR Contact (Existing Employee Level contact) and Line Manager.
Additional approval can be added whenever Country Rules are bypassed for a Remote Work request. Conditions in the Approval Rule Details screen support the Remote Work Request Country Rule: Destination Country Rules Bypass field to check if Country Rules have been bypassed for a request.
To learn more about bypassing Country Rules, click here.
Note that there is a Default Remote Work Approval Ruleset that you can use and will route approval routing to the Line Manager. You can also create your own approval ruleset and map that to the mobility type policy default for International Remote Work.
A standard Email Notification Template body for International Remote Work will be used once the approval routing begins and sends emails to approvers.
Associating Approval Routing Ruleset to a Policy Default
The configured Approval Routing Ruleset is then can be associated with a Mobility Type Policy Default. To configure, access the Mobility Type Policy Default screen and find 'Approval Routing Ruleset'. Select the desired ruleset to be used for this policy defaulting configuration. The ruleset selected will be the approval routing to be used once the remote work form is submitted. Additionally, remote work records that are created by the Mobility Manager widget will not have this routing.
Note, that the 'Approval Routing Ruleset' field is only available if the Mobility Type is International Remote Work.
Email Notification
After the Remote Work request form has been successfully submitted, the approval routing will be started. A standard Email Notification type and template for International Remote Work will be used once the approval routing begins sending emails to approvers.
The email sent to the configured approver will contain the Remote Request details and a link to the approval form. Contact your Equus representative if you want to edit and configure this template.
Approvers can now then approve or deny remote work approval routing.
