Cases can be used for scenarios where going through the Authorization process and populating well-detailed Assignment fields are not a priority, and a more straightforward process is required.

Case Records for Business Travelers can be created through the Mobility Manager widget in a Landing Experience Dashboard, where users can either create new case records, or view and edit existing ones. Case records are structured similarly to assignment records, but available fields on case records will depend on the Mobility Type and relocation policy of the assignee.

Add the Mobility Manager Widget to a Landing Experience Dashboard

The first step to managing case records is to ensure that the Mobility Manager widget has been added to an existing Landing Experience Dashboard.

Creating a Case Record

Case records can be quickly created through the "Mobility Manager" widget which can be added into Landing Experience dashboards.

To create a new Case Record, navigate to a Landing Experience dashboard with the Mobility Manager widget.

Select "Create a New Record" from the widget.

The "Select the Mobility Type" Modal will then be visible. From here, choose from the seven available Mobility Types displayed as tiles on the modal:

  • International Relocation

  • Domestic Relocation

  • International New Hire

  • Business Trip

  • International Remote Work

  • Domestic Remote Work

  • Immigration Only

Click on a Mobility Type to continue with creating the Case Record.

Select the Mobility Type Modal

After selecting a Mobility Type, the user can then choose to do the following:

  • Search for an existing employee to create the new Case Record for.

  • Create a new employee for the new Case Record.

Select or Create an Employee

Case-related fields will then be visible on the "Create a New Record" modal β€” these pre-defined fields will depend on which Mobility Type and Mobility Policy is chosen for the case.

Every Mobility Type has a different set of fields that can be populated for the Case Record.

For Mobility Types such as Business Travel, International Remote Work, and Domestic Remote Work, custom details can be added via Custom Fields (System and Company Levels) configured in the form. These custom fields are only available under the Trip Specific section, Destination Details.

Note, that not all custom field configurations such as Default Value, and Span Row, can be applied in this form, and Row/Column numbers are not always observed. Check this article for more information on Creating or exposing a new custom field

Additionally, the Company-level custom fields will only appear to users who are in the company for which the field is configured.

For Business Travel mobility type, a business trip assessment can be used. An additional section will be available to define the activity destination details. These details will support the risk assessment.

, the View/Edit an Existing Record modal will be shown to the user to continue making edits to the new Case Record. Depending on the chosen mobility type, more fields can be populated for the record.

Things to Note

  • Users can create Authorizations if templates are enabled on the widget. They will be displayed in the 'Start a new authorization' section:

  • Depending on the Mobility Type, the Segment Levels can only be configured after the record has been created and Segment Level options are dependent on the Mobility Type of the record.

  • If the Mobility Type is a Business Trip, the move can be associated with a project. A Project field will be available under Mobility Info to configure.
