Create a communication using an email template

Email templates can only be used at an assignment level and are used when Email is selected as the note/communications type. There are a number of ways to create a note/communications.  Option 1: Clic

Email templates can only be used at an assignment level and are used when Email is selected as the note/communications type. There are a number of ways to create a note/communications.

Option 1: Click the

plus button

icon on the Notes/Communications Assignments View screen for an assignment.

Option 2: Click on the envelope icon

to view the Notes/Communications associated with the assignment. The envelope icon is one of the Page control icons that appears on certain screens within the system. The example below is from the Assignment/Relocation Screen. A small window will appear and then click on

to create one.

The Screen field is automatically populated with the screen name from which the Notes/Communications is opened from.

Next, select Note or Email from the Type drop down list.

The Email Template field appears after selecting either Email or Note for the Type field. Select the desired Email Template from the Email Template drop down list. This lists shows only active email template that have been configured to appear for the selected Screen value. Screen availability is configured on the Email Template screen.

When an email template is used, the merge tags are replaced with data from the merge data source in Address Fields, Subject and/or Body fields. These fields can be edit prior to the email being sent.

Additional documents can be added using the

Attach Document Plus button

sign. If there are any attached documents to the template, Preview Document(s) will appear below the Documents section and documents can be previewed by clicking the appropriate output name link to open the document. Click

after making changes. When the email template is ready to be sent, click

Example Email Communication

Email templates that use the Advanced Email Editor will be read-only in preview mode, meaning the body cannot be edited. However, the preview will display the expected values from merge tags and reflect the content configured in the editor. When the email template is ready to be sent, click

Things to Note:

  • You can add multiple recipients in the Address Fields (To, Cc, Bcc) using a comma (,) as the separator when email type is selected as it is only available in it.

  • If required, you can delete email once it has been sent. See here for more details.
