Authorization Configuration

This section is responsible for general setting off the authorization template. The available fields are:

Authorization Configuration Template

  • Inactive: Tick the checkbox to make the template inactive so that it cannot be used.

  • Name: This is a mandatory field and is the name of the Authorization Template

  • Candidate Policy: If the template is created by copying an existing template from another company, a value will need to be selected.

  • Override Policy: Select an Override Profile to configure field captions, visibility, and field required-ness settings on the Authorization Template.

  • Default Request Effective Date: Set the default date here. It can be defined as 'Assignment Effective Date', 'Assignment Start Date', or 'Request Create Date'. This will be the default Effective Date for any Cost Estimate or Assignment Package requests. Note - Assignment Start and Effective Date does not currently observe the Relocation Term (Plural) system preference (RELOTERMPL).

  • Hide in Mobility Manager Widget: Authorization templates can be shown on the Mobility Manager Widget. When this tick box is checked, the template will be hidden from the widget, regardless of whether templates are set to show.

  • Other Custom Prompt Set: This field is required when <Custom Prompt> is selected for the Control field in the Authorization Steps. The tab will appear on the Authorization wizard and displays the prompt set specified in this field.

  • Approval Ruleset: Authorization approval rule set were the rule conditions are based on Authorization fields.

Note - when a value is selected for any of the following fields: Candidate Policy, Other Custom Prompt Set, Override Profile or Approval Ruleset, a navigation link appears to allow for quick navigation to the associated configuration screen.

This section provides the field: External Approval Help where you can add the Help text for External Users creating your authorization/initiation

to add a new step. You can indicate the number of steps you wish to add.

Authorization Steps

The following fields are visible for each row of the Authorization Step:

  • Control: Identifies the contents of the tab in the Authorization Wizard. The following values are:

    • <Employee>

    • <Contact Information>

    • <Relocation>

    • <Family>

    • <Cost Estimate>

    • <Approval>

    • <Cancellation>

    • <Policy>

    • <Services>

    • <Custom Prompt.

    • <Performance Management>

    • <Integration Notes>

    • <Assignment Package>

    • <User Page>

    • <Employee Self-Start>

    • <Cost Center>

  • Caption: Governs the title of the tab in the Authorization Wizard.

  • Step Sequence: Identifies the left to right order of the tabs on the Authorization Wizard.

  • Required for Process: Specifies the current step as a required dependency for the selected step. For example, if Services are required to be specified in order to grant Final Approval, specify <Final Approval> in Required for Process for the Services Control. User Page steps will not show in the list until after the template has been saved.

  • User Page: Only available when Control is <User Page>. Governs the contents of the tab.

  • Help Text: Displays custom help text at the top of the tab. When control is <Employee Self-Start>, this field defines the text that is shown to the employee on the Mobile Employee Experience and can provide assistance to employees when creating a new move. Note, the Help Text does not appear for internal users viewing the Authorization.

Additional tabs will appear if the value of the Control field is:

  • <Cost Estimate>, an additional tab will appear on the Cost Estimate wizard for all assignments with an Authorization that has not been completed. For more information, refer to the Expat4Cast User Manual.

  • <Assignment Package>, a sub-section of the Delivery Options on the Assignment Package will appear allowing for manual delivery or updates of documents to the authorization.

  • <Custom Prompt>, an additional tab will appear on the Authorization wizard and displays the prompt set specified in the Other Custom Prompt Set field. A tab Caption can be optionally specified.

  • <User Page>, an additional tab will appear on the Authorization that displays the User Page specified in the User Page field.

  • <Employee Self-Start>, an additional tab called Employee Completed Fields will appear on the Authorization only if the control is set to Step 1 and the user has the security rights. This tab determines what fields are showed to the employee on the Mobile Employee Experience and to users viewing in the first step of the Authorization.
