Why does a discharged resident still appear in the current list of residents?

A discharge does not occur immediately that the discharge date is entered even if today’s date or a past date is entered.

DepenSys looks at discharge dates every day at 05:00. Every resident who has a discharge date which is before the current date will automatically be moved to the ‘discharged’ residents list at 05:00. The resident will no longer affect the dependency data after the date of discharge. Please see the examples below for how this works;

Example 1: if today’s date is 03 June 2023 and a resident is discharged on this date, entering 03/06/2023 in the ‘Discharge / transfer out’ box (top right of the ‘Add Resident & Review Needs’ screen) will result in the resident being moved to the ‘discharged’ residents list at 05:00 on the following day, 18/06/2023. The care input required for the resident on the day of discharge will be retained.

Example 2: if the discharge occurred several days or weeks before the discharge date is entered onto the system, DepenSys will move the resident to the ‘discharged’ residents list at 05:00 the day after the discharge date is entered. The care input required for the resident up to the day of discharge will be retained in the system.

It is good practice to enter the discharge date on the actual day of discharge, death, or transfer out to ensure the DepenSys data is accurate and up-to-date.
