What do the DepenSys time calculations cover?

The time calculations within DepenSys are based on complex algorithms refined over the many years of development of the system. Each ‘area of need’ does not stand alone; it is the complex interaction between the areas of need which give the tool its ability to reflect accurately the time required for each resident.

Included in the time calculations:

  • Direct care delivery

  • Social interaction as part of the care delivery

  • Indirect care, comprising:

    • Assessment

    • Care planning

    • Evaluating care

    • Writing records, including carers’ daily records and chart completion

    • Communications between staff including shift handovers of 15 minutes three times a day

    • Communications with residents, visitors and external professionals and meetings (please see below)

    • Routine observation and supervision of residents

    • Accompanying a GP on requested visits or routine weekly visits to the home

    • Review meetings with the resident and family

The DepenSys calculated hours cover all of the above, but there will be circumstances where additional time is needed.

Not included in the time calculations:

  • Social care activities

  • Assessment visits by a senior member of staff off-site, e.g. to hospital or a potential resident’s home

  • Specific meetings e.g. weekly multidisciplinary team (MDT) meetings

  • Staff meetings

  • Staff training

These are expected to be covered by supernumerary time in addition to the DepenSys calculated hours.
