Set Up and Connect Anviz Clocks with Sense HR

Complete first-time installation and integration using the Sense Clock Transactions Service with verification of end-to-end clocking

Who this guide is for: Administrators responsible for installing and managing Anviz clock devices connected to Sense HR.

Overview

Anviz clocks are attendance and authentication clocks used to record employee clock-in and clock-out events.

Depending on the model of Anviz clock, employees can authenticate using:

  • NFC / RFID cards (all models)

  • fingerprints (Anviz C2 pro only)

  • facial recognition (Anviz FacePass and DeepFace models only)

In this article, you will learn how to:

  • Install and configure the Sense Clock Transactions Service

  • Connect your Anviz clock devices to your network

  • Sync employees from Sense HR to your clocks

  • Verify clock events are received by the service

  • Verify clock-in data reaches Sense HR

Clock events are transmitted to Sense HR through the Sense Clock Transactions Service — a local Windows service.


How the Clock Connects to Sense HR

Anviz clock devices do not connect directly to Sense HR.

A local service handles communication between the clocks and the platform.

  • Connects to clock devices

  • Retrieves new clock events

  • Sends data to Sense HR


How Employee Data Syncs

Employee records are automatically synchronised between Sense HR and connected clocks.

How Clock Events Sync

Clock events are first stored on the device.

Employee scans

If connectivity is temporarily unavailable, events remain stored for later transmission.

The timestamp reflects the actual scan time.


Hardware Installation

Mounting:

Install the device approximately 1.2 to 1.5 metres above floor level.

💡 Tip: Face recognition devices may require slightly higher positioning for optimal performance.

Power:

Use the power supply provided with the device.

⚠️ Power requirements vary by model. Always use the manufacturer-recommended power adapter.

Environment:

Anviz devices are designed for indoor use.

Typical operating conditions:

  • Temperature: -10°C to 50°C

  • Humidity: 20%–90% (non-condensing)

Avoid:

  • direct sunlight

  • dust-heavy areas

  • areas with strong electrical interference

🖊️ Note: For detailed hardware setup instructions, refer to the manufacturer manual for your specific Anviz device model.

Manuals can be downloaded from the Anviz website by searching your device name (e.g. C2 Pro, FacePass 7 Pro), or obtained from Sense support.


System Requirements

Hardware:

  • A supported Anviz clock device

    (C2 Pro, FacePass 7 Pro, FaceDeep 3, or W1C)

  • Windows 11 PC on same network that will remain powered on

    • A stable network connection between the PC and the clock(s)

    • Firewall and security settings configured to allow communication between the clocks and the Sense Clock Transactions Service

Software:

Files:

  • .bootarg file (provided by Sense)

Access:
Admin Access on the Clock, Windows device, and Sense HR

Default Anviz administrator credentials:

  • Admin ID: 0

  • Password: 12345

⚠️ It is recommended to change the default administrator password during setup.


First time installation and integration

Step 1: Save bootargs file:

Save the .bootarg file provided by Sense somewhere accessible on the Windows device, such as your Desktop.

You will import this file into the Sense Clock Transactions Service during setup.

It can be deleted from the Desktop after the setup is complete.


Step 2: Create the initial clock IP list

Open Notepad and enter the IP addresses of your clock(s).

💡 You can find the clock IP address on the device under Network settings.​

For multiple clocks, separate IP addresses with commas and no spaces.

Example:

192.168.1.10,192.168.1.11

Save the notepad file as:

clockip.txt

💡 Recommended: Use a Static IP Address

For reliable operation, it is recommended to assign a static IP address to each clock.

To configure this on the clock:

  • Open the device menu

  • Go to Network settings

  • Change from DHCP to Static

  • Enter the following:
    • IP Address (e.g. 192.168.1.50)
    • Subnet Mask (e.g. 255.255.255.0)
    • Default Gateway (e.g. 192.168.1.1)

All fields must be completed correctly. Missing or incorrect values may prevent the clock from connecting to the network.

These values must match your organisation’s network. If unsure, contact your IT team.


Step 3: Install the Sense Clock Transactions service

  1. Download the latest version Sense Clock Transactions Service (V4).

  2. Extract ZIP file

  3. Right-click the installer and select:
    Run as Administrator

  4. Follow the installation steps


Step 4: Open the Sense Clock Transactions Service

  1. Open file explorer and navigate to:
    C:\Program Files (x86)\ClockTransactionsService

  2. Right-click :
    ClockTransactionsSettings

  3. Select:
    Run as administrator


Step 5: Configure the Service

Open the Settings tab.

Confirm or enter:

  • Username

  • Password

  • Port


Import your bootargs file

Under Device Credentials:

  1. Click Import bootargs….

  2. Select the .bootarg file provided by Sense.


Optional (Recommended): Enable employee updates across clocks

If you have multiple Anviz devices, you can enable automatic syncing of user updates across all clocks.

Select:

Sync employee updates to all clocks

This setting is OFF by default.

When enabled, updates made on one clock automatically sync to connected clocks, including:

  • Name

  • Card

  • Fingerprint templates

  • Face templates

🖊️ Note: Biometric data is not stored in Sense HR. Only a secure biometric template is used when syncing between devices, not the original image or scan.

Click Save.

Step 6: Add the initial clock IP file

For first-time installation, copy the clockip.txt file created in Step 2 to:

C:\ProgramData\ClockTransactionsService

💡 Tip: ProgramData is a hidden system folder on your C drive and is different from Program Files.

If you cannot see it, enable Hidden items from File Explorer > View.

🖊️ Note: After initial setup: Additional clocks can be added directly from the Devices tab using Add Clock. You do not need to manually edit clockip.txt for normal ongoing device management.


Step 7: Start the Service

In the Sense Clock Transactions Service:

  1. Open Status tab

  2. Select:
    Start

Status should show:

Running

The Status tab also shows:

  • IoT Hub connection status

  • Last successful publish

  • Last publish error

  • Pending retries

🖊️ Note: You do not need to keep the Sense Clock Transactions Service application open for it to transmit clock data. The Windows service continues to run in the background as long as the Windows device remains powered on.


Keep the application up to date

The Status tab also allows you to check for updates without manually downloading a separate installer.

Select Check for updates to check whether a newer version is available.

If an update is available, follow the on-screen instructions to update the Sense Clock Transactions Service.


Step 8: Confirm Clock Connection

Wait ~5 minutes after initially starting the service, then:

  1. Open the Devices tab
    Connected = green

🖊️ Note: You do not need to keep the Clock Transactions Service open for it to transmit your clock data. The service will run in the background as long as the Windows device is powered ON.


Step 9: Run connection diagnostics

Before continuing, confirm that the service can communicate successfully with the required systems.

  1. Open Diagnostics.

  2. Click Run diagnostics.

  3. Review the results.

Diagnostics checks configuration, certificate, internet access, DNS, port 8883, TLS, the Windows service, IoT Hub and connected clocks.

A successful diagnostics run confirms the main configuration and connectivity requirements are working.


Step 10: Confirm Employees Have Synced

  1. Open the Employees tab

  2. Confirm employee records are listed

You will see:

  • Device Id

  • Device Ip

  • Employee Id

  • Employee name

  • Employee Name

  • Card / fingerprint / face status (for first time set up this will not be filled yet)

This means:

  • Employees have been sent from Sense HR

  • Users exist on the clock devices


Step 11: Verify Employees on the Clock devices

At this stage, users already exist on the clock(s).

On an Anviz clock device:

  1. Open the menu

  2. Log in as admin

  3. Go to User / Users

  4. Search or scroll to find employees

Your employee list should be visible on the device.

🖊️ Note: Menu names and navigation vary between Anviz clock models.


Step 11: Enroll a user for clock-in on a clock device

Before rolling out to all employees, it is recommended to test the setup by enrolling a single user.

Use your own employee record where possible, as this allows you to quickly complete the test using your card or biometric details.

On the Anviz clock device:

  1. Select the user for registration

  2. Open their profile

  3. From the user's information screen, register one of the following:

    • RFID / NFC card:
    Swipe the RFID Card on the device RFID Card read area (it will display the RFID Card number in the Card number text box)
    • Fingerprint (C2 Pro only)

    • Face recognition (FacePass / FaceDeep only)

Once enrolled, users can clock-in on any connected clock.


Step 12: Test the system

For the enrolled user:

  1. Perform a clock-in

  2. Wait a few minutes

  3. Open the Records tab in the Sense Clock Transactions Service

  4. Confirm the clock event appears

  5. Confirm the same clock event appears in Sense HR

The Records tab allows you to:

  • select a date

  • filter by device

  • search by employee name or employee number

  • export displayed records to CSV

✅ This confirms the complete connection is working:

Anviz clock → Local network → Sense Clock Transactions Service → Sense HR


Automatic syncing for new employees

When a new employee is added in Sense HR, they are automatically sent to all connected Anviz clocks.

The employee is created as a user on each clock, and a Time & Attendance ID is assigned and stored in their employee record.

No manual setup is required to create the employee record on the clock.

To check the new employee sync has completed in Sense HR:

Navigation path:
HR Dashboard > People

Steps:

  1. Go to People list

  2. Find and open the employee profile
    💡 You can use search, sort, or filters to find the profile quickly

  3. Open the Employment details screen (sidebar menu)

  4. Check that the Time & Attendance ID field has been populated
    This ID matches the employee’s ID on the clock and in the Sense Clock Transactions service.


Sync an Employee to Clocks

If an employee does not appear on a clock, you can trigger a sync from Sense HR.


Navigation path:

HR Dashboard > People

Steps:

  1. Go to People list

  2. Find and open the employee profile
    💡 You can use search, sort, or filter to find the profile quickly

  3. Click the More actions (...) menu (upper right)

  4. Select Anviz sync

This sends the employee record to all connected clocks.


Sync Users Across All Clocks

If you have multiple Anviz clocks, you can also use the Sync tab in the Sense Clock Transactions Service to reconcile users across all connected devices.

This process:

  • adds an employee found on one clock to other connected clocks where they are missing

  • copies fingerprint templates

  • copies face templates

  • copies registered usernames and passwords

  • does not remove employees

To run a sync:

  1. Open the Sense Clock Transactions Service

  2. Select the Sync tab

  3. Click Sync Clocks

  4. Review the results

🖊️ Note: Use Sync clocks when adding a new clock or if users appear on some clocks but not others.

Sync Clocks is additive. It does not remove employees from clocks.

Monitor the system

You can monitor the system from the Sense Clock Transactions Service (running ClockStatusHub 4.x) without accessing underlying service files.

To use:

  1. Open Sense Clock Transactions Service from your Windows device

  2. Click the following tabs.

Status

Use the Status tab to check:

  • Windows service status

  • IoT Hub connection

  • Last successful publish

  • Last publish error

  • Pending retries

Devices

Use the Devices tab to check whether individual clocks are connected.

Records

Use the Records tab to check whether clock events have been received by the service.

Diagnostics

Use Diagnostics to run connection checks if the system is not behaving as expected.

Together, these screens help identify whether an issue relates to the clock, local network, Windows service, or connection to Sense HR.


Understanding Clock Feedback

Successful scan

  • Employee name and ID shown with a check mark

  • Confirmation tone

  • Event recorded by clock


Failed scan

  • Try again or failed warning


Time Settings and Daylight Saving Settings

Clock time is managed as part of normal system operation.

If daylight saving changes are not applied automatically on your device, they can be adjusted from the clock’s time or DST settings.

🖊️ Note: Menu names and navigation may vary by device model.

To update daylight saving settings:

  • Open the device menu

  • Log in as an administrator

  • Go to Time, Date/Time, or DST settings

  • Update the daylight saving offset and start/end rules for your location

For example, using an Anviz C2 Pro in the UK:

  • offset: +1 hour

  • start: March / Sunday / Last / 01:00

  • end: October / Sunday / Last / 02:00

If you are unsure which values to use, check your local daylight saving rules before saving.


Basic Troubleshooting

Clock not appearing

  • Check power.

  • Check network.

  • Check the clock in the Devices tab.

  • Run Diagnostics.


No events in Sense HR

  • Check the service shows Running.

  • Check the device shows Connected.

  • Check whether the event appears in Records.

  • Run Diagnostics.


Delayed events

Temporary delays can occur during network interruptions. Clock events are stored and can sync when connectivity is restored.

Q: How long does it take for clock-in data to appear in Sense HR?

A: Clock events are sent to Sense HR automatically and usually appear within a few minutes.

If data does not appear after a few minutes, check the Records tab in the Sense Clock Transactions Service to confirm whether the clock event has been received.

If the event is not showing, check that the service is running, the clock is connected, and run Diagnostics to check for connection issues.


Q: Do I need to keep the Clock Transactions Service open?

A: No. You do not need to keep the Sense Clock Transactions Service application open.

The Windows service runs in the background, but the computer running it must remain powered on and connected to the network.


Q: What happens if the service PC is turned off?

A: If the service PC is turned off, clock events cannot be sent to Sense HR while it is unavailable.

The clock stores events locally so they can be retrieved when the service PC and connection are available again.


Q: How do I know if an Anviz clock is connected?

A: To check whether an Anviz clock is connected, open the Sense Clock Transactions Service and select the Devices tab.

A connected clock shows Connected.

You can also use the Diagnostics tab to test clock connectivity alongside the other connections required by the service.


Q: What should I do if an Anviz clock does not appear in the Devices tab of the Sense Clock Transactions Service?

A: If an Anviz clock does not appear in the Devices tab, check that:

  • the clock is powered on

  • the clock and service PC can communicate over the network

  • the correct IP address was used during setup

For an additional clock added after initial setup, select Add Clock from the Devices tab and enter its IP address.

If the clock still does not connect, run Diagnostics to identify possible connection issues.


Q: How do I add another Anviz clock after the initial setup?

A: To add another Anviz clock after the initial setup:

  1. Open the Sense Clock Transactions Service.

  2. Select the Devices tab.

  3. Click Add Clock.

  4. Enter the IP address of the clock.

  5. Click Add.

The clock will appear in the Devices list once it has been added.


Q: Do I need to set a static IP address for each Anviz clock?

A: It is recommended to use a static IP address for each Anviz clock.

If a clock uses a dynamic IP address, it may change over time and the connection to the service may be lost.


Q: What happens if the Anviz clock IP address changes?

A: If an Anviz clock’s IP address changes, the Sense Clock Transactions Service may no longer be able to connect to it.

Check the clock’s current IP address and update its device configuration in the Sense Clock Transactions Service as required.

If you are unsure whether the service can reach the clock, run Diagnostics.


Q: Do I need to manually add every employee to the Anviz clocks?

A: No, you do not need to manually add employees to the Anviz clock.

Employees are automatically added to the clock when they are created in Sense HR.

However, each employee must still be registered with a card, fingerprint, or face on the device (options vary by Anviz device model)


Q: How can I check whether an employee has been added to the Anviz clocks?

A: Open the Employees tab in the Sense Clock Transactions Service and find the employee.

You can check their employee ID, device and available card or biometric enrolment information.

You can also check the employee’s Time & Attendance ID in Sense HR:

Q: What should I do if a new or existing employee does not appear on an Anviz clock?

A: If an employee does not appear on a clock, you can manually send their employee record from Sense HR:

  1. Go to Sense HR Dashboard > People.

  2. Open the employee profile.

  3. Click More actions (…).

  4. Click Anviz sync.

This sends the employee record to all connected clocks.


Q: What is the difference between Anviz sync and Sync Clocks?

A: Anviz sync and Sync Clocks perform different tasks.

Use Anviz sync from an employee’s Sense HR profile to send that employee from Sense HR to all connected Anviz clocks.

Use Sync Clocks in the Sense Clock Transactions Service to reconcile users between connected clocks. If an employee exists on at least one clock but is missing from another, they are added to the other clock along with supported user information and biometric templates.

Sync Clocks is additive and does not remove employees.


Q: When should I use Sync Clocks?

A: Use Sync Clocks when you have multiple Anviz clocks and users are not consistent across them.

For example, you may use it:

  • after adding another clock

  • if an employee exists on one clock but not another

  • to reconcile user information across connected clocks

Go to the Sync tab and click Sync Clocks.


Q: Can employee updates be automatically synchronised between Anviz clocks?

A: Yes. If you have multiple Anviz clocks, you can enable Sync employee updates to all clocks from the Settings tab.

When enabled, supported changes made to a user on one clock are automatically distributed to the other connected clocks, including:

  • name

  • card

  • fingerprint templates

  • face templates

This setting is OFF by default.


Q: Are fingerprint or face images stored in Sense HR?

A: No. Fingerprint or facial images are not stored in Sense HR.

Where biometric information is synchronised between clocks, a secure biometric template — a mathematical representation of the fingerprint or face — is used rather than the original image or scan.


Q: Can employees use any connected Anviz clock in the organisation?

A: Yes. Once an employee exists on the connected clocks and their clock-in method has been registered and synchronised as required, they can clock in and out using the connected clocks.


Q: What happens to the Anviz clock record when an employee leaves?

A: When an employee is marked as a leaver in Sense HR, their user record is automatically removed from the Anviz clocks once their leaving date has passed.

They will then no longer be able to clock in.


Q: How do I check whether a clock-in has reached the Sense Clock Transactions Service?

A: Open the Records tab in the Sense Clock Transactions Service.

You can:

  • select a date

  • filter by device

  • search by employee name or employee number

  • view received clock events

  • export the displayed records to CSV

Q: What does the Diagnostics tab in the Sense Clock Transactions Service check?

A: The Diagnostics tab tests the connections and services required for the Anviz integration to work correctly.

The checks include:

  • configuration

  • certificate validity

  • internet connection

  • DNS resolution

  • MQTT port 8883

  • TLS connection

  • Windows service

  • IoT Hub connection

  • clock connectivity

Q: What should I do if an employee cannot clock in using Anviz clocks?

A: If an employee cannot clock in, check that:

  • the employee exists on the clock

  • they have an appropriate clock-in method registered

  • they are using the correct card, fingerprint, or face authentication method for that device

Q: Why is a clock-in time different from when the data appears in the Sense Clock Transactions Service or Sense HR?

A: Clock events may take a few minutes to sync.

The timestamp reflects the actual time the employee clocked in, not the time the event subsequently appears in the Sense Clock Transactions Service or Sense HR.


Q: Can I use Wi-Fi instead of Ethernet with Anviz clocks?

A: Yes. Anviz clocks can use Wi-Fi or Ethernet where supported, but a stable network connection is required.

Unstable Wi-Fi can cause connection issues or delays in transferring clock events.


Q: How do I update the Sense Clock Transactions Service?

A: You can check for updates directly from the Status tab.

Click Check for updates. If an update is available, follow the on-screen instructions.

You do not need to manually download a separate update file.


Q: What should I do after Anviz setup is complete?

A: When the Anviz clocks and Sense Clock Transactions Service setup is complete, and before rolling out to employees:

  • confirm all clocks show as Connected in Devices

  • run Diagnostics and check that the required connections pass

  • test a clock-in with one user

  • confirm the event appears in Records

  • confirm the event appears in Sense HR

This verifies the complete clock-to-Sense HR connection before employees begin using the system.
