How to Amend Candidate Details in Online Services

If you need to update a learner’s details, you can do this in Online Services via the Utilities tile by selecting Amend Candidate Details.

Please note: If you do not have access to the Utilities folder, you will need to contact your Centre Coordinator to request the appropriate permissions.


Steps to amend learner details

  1. Go to the Online Services navigation menu and select Utilities.

  2. From the available tiles, select Amend Candidate Details.

  3. Use the Selection Criteria to find the learner, then click Search.

  4. The learner’s registration will appear in the search results.

  5. Select the learner you wish to amend and click Show Details.

  6. On the Update Candidate Details screen, make the necessary changes to the relevant fields.

  7. Click Save to confirm the updates.

Once the changes have been saved, a confirmation message will appear at the top of the screen.


What details can be amended?

For a learner registration, the following details can be updated:

  • One permitted name correction of up to 3 characters across the first name, middle initial, or surname

  • Gender

  • Day and month of birth

  • Email address

  • Phone number


When to contact the Customer Experience Team

If you need to change the year of birth or correct more than 3 characters in a learner’s name, you will need to contact the Customer Experience Team and provide supporting identification or a college enrolment form showing the correct details.

Any identification should be submitted securely, either via a secure portal or as a password-protected document, and should only include the information relevant to the requested amendment.


Important

If a learner has already been certificated, their details cannot be amended in Online Services. In this case, please contact the Customer Experience Team for further assistance.
