How to Set up Additional Online Services Users Using User Maintenance

It's important to know that this function is only available to the Centre Coordinator.

To set up additional staff members to access Online Services and/or Surpass, follow these steps:

Go to the Online Services landing page and select "User Maintenance".

From the available tiles, select "Centre User Management Application".


Creating a User:

To create a new user, select "Create User" from the left-hand side.

Enter the user's details, ensuring that the User ID does not contain any spaces or special characters. For ease, it is recommended to use the staff member's initials.

Click 'Generate Password' to create a random password the user will be able to change when they login.

Once the user details have been entered, you can proceed to set permissions for the user.


Setting Permissions:

Surpass

Begin by setting the Exam Role for the user, which will provide access to Surpass and allow them to Schedule, Invigilate or View Results for Online Exams.

If you do not require the user to have access to Surpass, you can select the option "No Exam Role".


Online Services

Once exam role permissions have been set, you can proceed to Online Services Role Assignment. Please refer to the following breakdown of each user permission:

Registration & Certification Authorisation: This permission allows the user to process learner registrations & certifications, upload bulk registrations, search for learner records and add employer cohort tags.

Centre Display Only User: This permission allows the user to view all learner registration and certification records, but they will not be able to modify the learner records.

Centre Reporting User: This permission allows the user to access the following reports - Registration, Certification, Candidate History and Registration Confirmation.

Utilities Authorisation: This permission allows the user to access the following - Edit ULN, change a pathway, de-registration re-registration, amend candidate details, order replacement certificates, withdraw a learner, order a replacement portfolio and order ERR workbooks.

Centre Publication User: This permission allows the user to download all EAL qualification materials.

e-Certificates: This permission allows the user to download all electronic certificates available to learners.

Once the user permissions have been selected, please select "Save" at the bottom of the screen.


The new user will receive an email from donotreply@eal.org.uk with the username and password

Please allow overnight integration for all new exam users before logging in.

It's important to note that if you have selected an exam role, it will not work immediately. In case you attempt to log in, you will receive an error message that states, "ERROR WHEN PROCESSING YOUR REQUEST".
