Certifying a Learner for a Graded Qualification Using Online Services.

It's important to note that if you do not have the Reg & Cert folder on your account, you will need to contact your Centre Coordinator to request permission to be added to your account.

To certificate a learner for a graded qualification using Online Services, access the Online Services navigation menu and click on "Reg & Cert".

From the available tiles, select "Certification."

You must now follow each step below accurately, please click on the arrow alongside each step to expand the instructions:

Step 1: Searching for a Learner

Using the search criteria, enter the learner details then press "Search".

A list of the learners registered qualifications will appear on screen.

Next, choose the specific qualification that you wish to claim (the row will highlight in blue to indicate your selection) and proceed to click on the "Get Claim Details for the Candidate" button:


Step 2: Checking Learner Details

Before proceeding with a claim, it's essential to ensure that all the learner's personal details are accurate under "Learner Details." This includes the first name, middle initial, and surname, which will be printed on the certificate.

In case you identify any errors, it's crucial not to continue with the claim. You can refer to this article for guidance on how to update the learner's details.

If the learner's details are correct, proceed to the next section. It's worth noting that claiming a certificate with incorrect details will result in a fee to modify and issue a new certificate.


Step 3: Selecting an IV

Under the "IV Details" section, choose the Main IV from the drop-down list.

If the expected IV isn't visible in the list, it could mean that they have not been linked to the qualification correctly. You can follow this article to link an IV to a qualification.


Step 4: Selecting a Chargeable Unit Certificate

If you're making a claim for a unit certificate, you must specify whether you would like to receive a printed hardcopy of the certificate or not.

  • If you select "Chargeable Certificate Required" then you will receive a unit certificate with the learners claimed units - additional fee's apply.

  • If you select "Chargeable Certificate Not Required" then the claim will remain in the system, and no certificate will be issued for the unit claim.

To select the preferred option, navigate to the "Other Details" section and choose the appropriate alternative from the drop-down list.

If the learner has completed the qualification, and you're making a claim for a full certificate, leave this section blank and move on to section 5.


Step 5: Claiming the Units

In the "Qualification Unit Details" section, you need to select the units that the learner has completed by choosing a grade from the drop-down list.

Repeat this process for every unit that the learner has completed, and then move on to the next step.

Tip: If a row appears in light green, it indicates that the unit is registered. However, if the row appears in dark green, it implies that the unit has already been claimed for the learner, and you cannot make a claim for it again.

Step 6: Selecting the Overall Grade

After selecting a grade for each completed unit, you can proceed to select the overall grade for the learner.

Look for the "Overall Qual. Grade:" option, which appears just above the "Qualification Unit Details" section heading, and choose the overall grade for the learner from the drop-down list. Refer to the qualification manual for grading criteria.

Tip: If the "Overall Qual. Grade" box is greyed out, don't worry. You can continue to the next section and validate the claim because the system will calculate the overall grade automatically.

Step 7: Validating the Claim

Once you've chosen the units and the overall grade, you can proceed to validate the claim. By validating the claim, the system will inform you of any issues with the claim before continuing.

If the claim is validates successfully, a notification will appear at the top of the screen, confirming that the claim has been validated successfully.

Once the claim has validated successfully, you can move onto the next section.

Step 8: Saving the Claim

When you are ready to save the claim, make sure to tick the claim "Disclaimer". By checking this box, you are confirming that the claim accurately reflects the learner's achievement, and that you understand that any incorrect claims are considered maladministration under EAL's Maladministration and Malpractice Policy.

After checking the disclaimer, add the learner claim to the basket by clicking on "Add to Basket". Then, select "View Basket" to verify that the learner has been added to the basket.

Before saving the claim, you should verify the accuracy of the claim by checking the learner's personal details and the claimed unit. To do this, select the ">" icon under the "Units" column. A breakdown of the learner's claim will be displayed. Check that all claimed units are correct and that the learner's personal details are accurate.

If you notice any errors with the claimed units, you can select "Edit Claim" against the selected candidate and make changes to the claim before saving. If you are satisfied with the selection, click on "Save Claim(s)" to finalise and submit the claim.

Upon saving the claim, you will receive a confirmation message at the top of the screen.

If you have direct claim status, you can expect to receive the e-certificate in your Online Services account after 11am the following working day. However, if you do not have direct claim status, you will receive a warning message at the top of the screen, and you will need to contact your centre EQA for support.
