Apprenticeship Versioning and Version Control Guidance

Ensure your learners are registered on the correct standard version and pathway to prevent delays and compliance issues at Gateway.

When registering your learners on ACE360, the version or pathway selected must match what is recorded in the learner’s ILR. This ensures records align and assessments can progress smoothly.


Why Version Control Matters:

Apprenticeship standards and assessment plans are updated over time. Changes may include:

  • Revised Knowledge, Skills and Behaviours, KSBs

  • New or altered assessment methods

  • Adjustments to grading criteria

  • Updates to funding rules or compliance requirements

If a learner is registered on the wrong version, it can cause:

  • Delays to assessment if the record does not match the ILR

  • Incorrect evidence submission, for example using outdated KSBs

  • Non compliance with ESFA and Skills England rules

  • Re registration requirements, creating extra administration for you and EAL


ST Numbers, Standards and Assessment Plans:

Each apprenticeship standard has an ST number, for example ST1234. This remains the same, but both the standard and its assessment plan, AP can have different versions.

  • Standard versions are updated when the content, funding band or pathways change.

  • Assessment plan versions are updated when assessment methods or grading criteria change.

Each update creates a new version number, for example v1.0, v1.1, v1.2.


Which Version Is Correct?

A learner must always be registered on the version of the standard that was live when they started their apprenticeship.

  • Learners can move to a newer version, for example from v1.1 to v1.2.

  • Learners cannot move to an older version, for example from v1.1 to v1.0.


Your Responsibility as a Provider

Before registering a learner on ACE360, you must:

  • Check the ILR carefully and confirm the correct standard version and pathway.

  • Match these details exactly when completing the learner registration.

  • Seek registration support if you have ILR alignment questions.

Key reminder: Always review your learner’s ILR prior to registration to prevent mismatched versions or pathways. This helps ensure a smoother EPA process, reduces delays and maintains compliance.


What if the Version Seems Incorrect?

EAL performs checks at different stages. If you believe a learner is on the wrong version, please refer to the contact table at the end of this article and get in touch with the relevant team.

Note: In some cases, learners may have been moved to another version for a valid reason. EAL will confirm if the version is correct.

In EAL documents, you may see both issue numbers and version numbers:

  • Issue numbers relate to EAL internal document control.

  • Version numbers relate to the apprenticeship standard or assessment plan.

Always refer to the standard and assessment plan versions for registration purposes.


Changing a Learner’s Version
