Email Notifications in ACE360

ACE360’s Email Notification feature puts you in control of the updates you receive, ensuring you’re always informed about the activities that matter most to your role. Whether you’re an assessor, coordinator, manager, or administrator, you can customise your notifications to fit your needs.

How Email Notifications Work

All users, across training providers and EPAOs, can choose the activities they wish to be notified about. There are 38 notification types available at launch, with options for immediate updates on everything from apprentice breaks in learning, reasonable adjustment approvals, gateway rejections, grade awards, appeals activity, and much more.

Setting Up Your Notifications

Access the Notifications Control Panel

From the left-hand main menu, select Activity.

Select Notification Types

Browse the list of available notification activities. Select any events you’d like to receive by email. You can pick up to:

  • 3 for hourly

  • 5 for daily

  • 10 for weekly notifications

Choose Notification Frequency

Decide how often you want to receive updates:

  • Hourly: Sent on the hour as a digest (No email is sent if there are no new events)

  • Daily: Sent every morning at 6am

  • Weekly: Sent Mondays at 6am

Review and Use Notification Emails

Each notification email includes a list of all selected activities, grouped by category, and includes direct links to the relevant apprentice records or features in ACE360. If you’re logged into ACE360, clicking an email link will take you straight to the relevant detail in the platform.

Set Your Email Address

By default, notifications go to the email address linked to your ACE360 user account. You can change this if you’d like notifications sent elsewhere. If the field is left empty, notifications will be paused—useful if you’re away on leave.

Tip: You can use a shared admin email for tracking key actions, or pause notifications entirely if needed.
