Break in Learning on ACE360

Keeping apprentice records up to date is essential - especially with the introduction of the Apprenticeship Accountability Framework. ACE360 makes it straightforward for providers to record and manage breaks in learning, ensuring data is accurate for both you and the EPAO.

What is a Break in Learning?

A Break in Learning is used when an apprentice needs to pause their studies, for reasons such as illness, maternity leave, or other personal circumstances. Using this feature in ACE360 helps everyone involved see which apprentices are temporarily inactive, improving data accuracy and forecasting.

How to Apply a Break in Learning

Access the Apprentice Record

Go to the Apprentice Records section and select the apprentice who requires a break.

Select the Break in Learning Option

In the apprentice’s profile, click the Actions button in the top right-hand corner. Choose Break in Learning from the dropdown menu.

Enter the Reason

When prompted, provide a reason for the break. Confirm your entry. The apprentice’s record will now show both the status and reason for the break, making this information visible to the EPAO.

Record Status Update

The apprentice’s status will update to “Break in Learning,” and their record will move to the Archived Records tab. You can also filter for learners on a break directly from Apprentice Records.

Resuming Learning

When the apprentice is ready to return:

  1. Find the apprentice in Archived Records.

  2. Open their profile and click Actions, then select Resume Learning.

  3. Confirm you want to resume the apprentice. The record will be restored to its previous status and appear again in Live Records.

Before fully resuming, check and update the Expected Gateway EPA Date to reflect the new timeline. Edit this date in the apprentice’s record to keep your data accurate.
