To register learners and create apprentice records on ACE360, providers must purchase tokens in advance. Tokens are priced at £7.50 (+ VAT) each and are reimbursed at the End Point Assessment invoicing stage.
How to Purchase Tokens
You can purchase tokens using BACS or Card Payment. See each method below.
Purchase Tokens via BACS (Bank Transfer)
Login to ACE360 and select the "Token Management" icon from the left-hand menu
Select "Purchase Tokens", enter the number of required tokens and choose BACS as your payment method
If you have not set this up, you can select "Add BACS Information" from the "Token Management" screen. Additionally, you can edit your existing information here
ACE360 tokens will only be added once the payment has cleared. You will receive a confirmation email once your account has been credited
When baying by BACS, it can take 48 hours for the payment to be cleared before the tokens are added to your account.
Purchase Tokens via Card
Login to ACE360 and select the "Token Management" icon from the left-hand menu
Select "Purchase Tokens", enter the number of required tokens and choose "Card" as the payment method
If you have not set this up, you can select "Add New Payment Card" from the "Token Management" screen. Additionally, you can remove your existing information here
If paying via card the tokens will be added to your account instantly upon successful payment
⚠️Please note that any un-paid token invoices will be cancelled automatically within 90 days and will not appear in the pending tokens section of ACE360.
All token transactions will be recorded in the ACE360 “Activity Log”. This will only be visible to designated ACE360 Finance Manager and Super Admin user accounts.
Tokens must be purchased by the provider and are required to set up learner records on ACE360.
