Discover Roles
There are three different roles on Yousign:
Roles are available in Plus, Pro, and Scale subscriptions.
In Yousign, your role within the organisation determines what you can do: manage users, configure account settings, administer templates and contacts, or control workspace access.
Roles (Owner, Admin and Member) define your organisation-level permissions, while workspace access levels determine the visibility of signature invitations.
The role defines what the user can or cannot do on Yousign; each role has different permissions:
The price of an additional license does not vary based on the user's role using the license. To invite a user, follow this guide.
The owner and admins can modify the roles of users at any time. To change a user's role, follow this guide.
The owner is by default the person who creates the organization's account; there can only be one owner per organization. If you wish to change it, the current owner can modify their email address in their profile to transfer the account to another person (see how here). If the person you want to transfer rights to already has a Yousign account, contact our team here.
The matrix below summarises these permissions to help you understand the responsibilities associated with each role.
Understand Permissions
| Owner | Admin | Member |
Signature requests | Create and manage all organization signature requests. Always has Full access in all workspaces. | Visibility depends on workspace access level: Full (view and edit all SRs in the workspace) or Personal (view and edit only their own SRs). | Can be granted Full access (view and edit all SRs in a workspace) or Personal access (view and edit only their own SRs). |
Forms | Create and use all organization forms | Create and use all forms in their workspaces | Create and use all forms in their workspaces |
Templates | Create, use and edit all organisation templates (shared templates) | Create, use and edit shared templates within the organisation and workspaces | Create, use and edit their own templates, as well as any shared templates they have access to |
Contacts | Create, edit and delete all organisation contacts (global contacts) | Manage shared contacts at the organisation and workspace level | Create and edit shared contacts they have access to |
Organization settings | Manage organization settings | Manage organization settings | - |
Organization Users | Invite, edit, and remove users | Invite, edit, and remove users in all the organization | - |
Workspaces | Create and manage all workspaces | Only manage users in their workspaces | - |
Billing | Manage subscription and licenses count | - | - |
A user’s role (Owner, Admin, Member) applies across the organization, but workspace access levels determine what signature requests they can see and edit in each workspace. Full access lets them see all SRs in a workspace, while Personal access restricts them to their own SRs.
Workspace access levels control signature request visibility:
Roles define organization-level permissions (settings, billing, user management), while workspace access levels determine what signature requests a user can see and edit in each workspace.
Learn more: Manage workspace access levels
A template can be personal (created by a Member) or shared across the organisation or a workspace. Owners and Admins can edit shared templates, while Members can only manage their own templates or the shared ones they have been granted access to.
Contacts follow the same logic: organisation-level contacts are visible to everyone, while some contacts may be shared only within specific workspaces.
If you are unsure, check whether the item is personal or shared, as this determines which permissions are available for each role.
